Position Overview: Transaction Coordinator

As the Transaction Coordinator, you will manage the entire lifecycle of real estate transactions from executed contract through closing. You will work closely with acquisitions, dispositions, title companies, lenders, and sellers to ensure that every deal progresses smoothly and closes on time.

This is a critical operations role responsible for maintaining organization, communication, and compliance across multiple transactions at once. Your ability to stay ahead of deadlines, communicate clearly, and solve problems quickly will directly impact the success of the company.

Key Responsibilities
  • Manage and coordinate all aspects of real estate transactions from contract to close
  • Prepare, review, and organize contracts, addendums, disclosures, and transaction documentation
  • Track key milestones and deadlines to ensure transactions stay on schedule
  • Communicate regularly with buyers, sellers, title companies, lenders, and agents
  • Coordinate inspections, appraisals, and other required services
  • Ensure all documents are accurate, complete, and compliant with transaction requirements
  • Maintain detailed and organized digital transaction files
  • Monitor closing progress and proactively address issues that could delay closing
  • Collaborate with internal teams to move deals efficiently through the pipeline
  • Assist with post-closing documentation and issue resolution
  • Stay current on real estate transaction procedures, compliance, and best practices
Qualifications & Experience
  • 5+ years of transaction coordination experience (required)
  • Real estate transaction experience with a title company, mortgage company, investor, realtor, attorney, or similar role
  • Proven experience successfully managing transactions through closing
  • Strong understanding of real estate contracts, documents, and closing procedures
  • Excellent organizational and multitasking abilities with strong attention to detail
  • Clear and professional communication skills
  • Proficiency with real estate software systems, CRMs, and transaction management tools
  • Ability to work independently while collaborating with a team
  • Familiarity with Tennessee real estate transaction processes is preferred
  • High level of professionalism, confidentiality, and personal accountability
  • Strong work ethic with the ability to manage time effectively and consistently meet deadlines
