JOB DESCRIPTION

The Event Manager is responsible for coordinating and supervising event duties after it is booked by the sales department; arrange the completion of the event, while maintaining a profitable operation with quality products and service levels. The Event Manager is an acting liaison between client and operating departments to ensure successful weddings, meetings, and social events to generate repeat business and promote employee development through modeling, coaching, and reinforcing behavior in compliance with River Stone Manor standards manual.· Coordinate all event-day operations, managing the flow of event from beginning to end including post function cleanup


· Oversee the proper setup, execution and break down of the dining room, bar and outside event spaces

· Act as the liaison between the dining room and kitchen, ensuring that service is timely and providing updates with the pacing of event, guest counts, allergies, etc.

· Hold pre-shift meetings before each event to inform staff of appropriate assignments, procedures, and any special conditions

· Monitor all FOH team members including bartenders to ensure all operating and service procedures are followed

· Oversee guest seating and be proactive in solving any seating discrepancies

· Maintain constant communication with Event Specialist and On-Site client contact to ensure all expectations are met or exceeded

· Schedule staff to meet operational standards while minimizing labor cost

· Hire, train, schedule, supervise, develop, discipline, and counsel FOH employees; conduct annual performance assessments 

· Follow and enforce all quality control standards, sanitation regulations, and safety procedures – including the proper maintenance of the facility and its equipment and appropriate food handling and attire by personnel

· Order, monitor and conduct monthly inventory of liquor and FOH supplies 

· Know and follow all emergency and safety procedures

· Maintain appropriate certification (to be determined as deemed necessary for the successful and safe operation of the facility)

· Perform other tasks as requested by the General Manager or AHG

An Event Manager must know all aspects of an event from the setup to the very end and the timing of everything in between

An Event Manager must have the confidence to know when to step out of the “General” rules to best serve our guests; the ability to respond and adjust to last-minute changes or unforeseen situations that may arise using tact and professionalism

An Event Manager needs to recognize the strengths and weaknesses of the staff and work within those parameters:



Expectations:

  • Ensure that the client and their guests are happy beyond their expectation
  • Maintain staff training and excellence in all areas that their job descriptions entail according to this manual
  • Knowledge of all staff job responsibilities, event paperwork, timing, and execution of every type of event
  • Weekly meetings with Sales Team, Chef, and Operations Manager for Event Detail Meetings
  • Responsible for keeping accurate records of all events utilizing the forms in your EM Packet submitted to the Salesperson at the end of each event.  This packet is to be compiled at the Event Detail meeting performed midweek.  EM Packet contents are listed at the end of this section.




Requirements:

JOB REQUIREMENTS

QUALIFICATION REQUIREMENTS:

  • New York Alcoholic Beverage Service Certification
  • Comprehensive knowledge of food and beverage preparations, service standards according to this manual, guest relations, and etiquette
  • Excellent written and oral communications skills with clients and staff
  • Must have experience at properties of similar size and quality

EDUCATION AND/OR EXPERIENCE:

  • Two (2) year degree in Hospitality and/or Food Service or extensive special event experience is preferred
  • Five (5) years of Supervisory experience
  • Solid career progression up through the ranks

KNOWLEDGE, SKILLS AND ABILITIES:

  • Read and write English
  • Excellent skills in developing alternative approaches to meet client demands and property profit guidelines
  • Clear, concise written and verbal communication skills
  • Ability to instill a calm, organized approach in all situations
  • Ability to supervise staff and delegate event staff duties
  • Develop and implement training modules for staff
  • Conduct pre-event meeting with staff
  • Ability to handle multiple customer and operational demands with a high degree of professionalism, operating often with time-sensitive deadlines
  • Ability to operate independently and with a high degree of autonomy requiring excellent time management skills and self-motivation
  • Event product and industry knowledge, i.e., staffing, operations, safety, security, house rules, structural, terminology, fire, police and health codes, River Stone Manor policies, and town ordinances.

PHYSICAL REQUIREMENTS:

  • Maneuver within work area in close surroundings
  • Stand or be present in work areas for long hours
  • Ability to lift, move and place fifty pounds
  • Ability to climb stairs

WORKING CONDITIONS:

  • Work assignments will include special events, weekends, and holidays
  • Schedules may change due to special events. Must be able to work flexible hours
  • Position will be required to work a varied schedule that may include evenings and weekends
  • May cross-train in several areas of the Food & Beverage Department, and may be assigned to work in different areas
  • Must have the ability to deal with angry or hostile individuals with diplomacy and composure
  • Develop and submit proposals for increased customer satisfaction and profit
