The Inflight Records, Scheduling and Logistics Specialist is responsible for the operational administration, logistics coordination, qualification management, and regulatory recordkeeping functions supporting the Inflight Training program. This role serves as the primary operational support resource for Inflight Training and is responsible for maintaining Flight Attendant training records, qualification tracking, training logistics, training scheduling coordination, recurrent administration, and regulatory compliance processes.
This position works closely with Inflight Training Leadership, Crew Planning, Crew Resources, and operational stakeholders to ensure all Flight Attendant training events, qualifications, and regulatory requirements are administered efficiently and in compliance with FAA requirements and Company procedures. This role also provides critical logistical and operational coordination support for Initial New Hire (INH), Recurrent (RCT), ATI/ATS, OE, and qualification-related training events.
Here's what you'll do
Records & Qualification Management
  • Own and administer the Inflight Training records process.
  • Maintain and audit Flight Attendant qualification and training records in MINT/QTMS and N-OC.
  • Monitor Flight Attendant qualification status to ensure compliance with FAA requirements and Company procedures.
  • Manually push qualifications from MINT to N-OC when required.
  • Conduct secondary validations of qualification and training records.
  • Process OE releases and qualification updates.
  • Upload and maintain Flight Attendant training documents and records.
  • Input FAA certificate information into Company systems and databases.
  • Assist with quarterly Flight Attendant records audits in coordination with Inflight Leadership.
  • Assist with FAA, IOSA, DOD, IAP, and other internal/external qualification audits.
Initial New Hire Administration
  • Send FAA Letters of Intent for applicable training events.
  • Add trainees/instructors into MINT/QTMS systems.
  • Upload trainees/resources into CPAT and other applicable training systems.
  • Determine Flight Attendant seniority and update tracking systems accordingly.
  • Coordinate communication with Crew Planning regarding trainee seniority and qualification status.
  • Support operational readiness for INH classes through logistics coordination and scheduling support.
Recurrent Training Administration
  • Create recurrent training classes in MINT/QTMS.
  • Administer recurrent bid forms and award processing.
  • Coordinate placement of recurrent awards into the scheduling system (N-OC).
  • Support recurrent travel coordination and training logistics.
  • Send recurrent training communications and welcome emails.
  • Manage recurrent reschedules, failures, removals, and non-qualified (NQU) processing.
  • Coordinate line removals and qualification restrictions with operational stakeholders.
  • Troubleshoot recurrent forms, reports, and qualification discrepancies.
ATI/ATS Record Support
  • Maintain ATI/ATS qualification and training records.
  • Track and communicate to Inflight Training Leadership ATI/ATS due months and qualification requirements.
  • Push ATI/ATS qualifications to Inflight Training Leadership for ATI/ATS signoffs.
  • Interface regularly with instructors and leadership regarding qualification matters.
Logistics & Operational Coordination
  • Coordinate operational logistics for Inflight Training events.
  • Assist with travel coordination for training attendees and instructors.
  • Support scheduling coordination between Inflight Training, Crew Planning, and Flight Ops Training.
  • Serve as liaison between Inflight Training and operational stakeholders regarding training logistics and qualification status.
  • Assist with operational troubleshooting related to training scheduling, records, qualifications, and logistics.
  • Support classroom readiness and administrative coordination for training operations.
Here's what you'll need to be successful
Minimum Qualifications
  • 4-year degree in Business, Aviation, or related field and/or equivalent work experience.
  • 2+ years of prior experience in aviation training, records administration, qualification management, logistics coordination, or related operational support roles.
  • Understanding of Flight Attendant training operations and regulatory requirements.
  • Ability to prioritize multiple operational tasks simultaneously in a fast-paced environment.
  • Strong organizational, administrative, and problem-solving skills.
  • High-performance orientation with ability to work under pressure and maintain flexibility.
  • Strong attention to detail and ability to maintain record accuracy.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to work independently with minimal supervision.
  • Ability to interface professionally with internal stakeholders and operational departments.
  • Ability to work varied hours when necessary to support operational needs.
  • Ability to adapt to a start-up work environment.
  • Ability to assist in the operation and travel, as necessary.
  • Must pass a DOT pre-employment drug test.
  • Must pass a TSA required fingerprint-based criminal history records check and a Breeze background check.
Preferred Qualifications
  • Understanding and working knowledge of FAA Part 121 regulations and 8900 guidance.
  • Experience using MINT/QTMS, NOC, CPAT, or similar training/qualification management systems.
  • Prior Inflight Training, Records, Crew Planning, or aviation operations experience.
  • Experience supporting FAA, IOSA, DOD, or internal audit processes.
