Job description

Summary: The Sales Support Administrator is responsible for providing sales coordination, customer support, marketing support, and administrative assistance to the sales team. This position serves as a key resource for outside sales representatives, customers, and internal departments through coordination of sales activities, CRM maintenance, customer order coordination, trade show and training events, marketing initiatives, and office support functions to assist in achieving company sales and operational goals.

Essential Duties and Responsibilities – Include the following (other duties may be assigned):

  • Maintains and updates customer, supplier, distributor, prospect, and sales records within company systems and CRM.
  • Serves as a lead administrator for CRM data management and related sales systems.
  • Assists sales representatives with customer correspondence, sales documentation, and administrative support activities.
  • Coordinates customer inquiries and directs requests to the appropriate sales representative or department.
  • Coordinates communications between customers, sales representatives, engineering, production, purchasing, shipping, and other departments.
  • Coordinates customer order status communications and related customer inquiries.
  • Responds to customer inquiries regarding products, pricing, lead times, documentation, and order status.
  • Routes technical inquiries to the appropriate sales or engineering personnel.
  • Maintains and updates product literature, pricing information, customer documentation, and sales support materials.
  • Manages the company online parts store by loading data and ensuring website information remains accurate and current.
  • Coordinates with marketing and website resources to ensure company websites remain current.
  • Supports email marketing campaigns and customer communication initiatives.
  • Coordinates with Marketing, Engineering, Customer Service, Operations, and other departments on matters of mutual importance.
  • Schedules appointments, meetings, customer visits, and sales activities.
  • Prepares and maintains sales contracts, agreements, and related documentation.
  • Reviews employee expense reports for completeness and policy compliance prior to approval.
  • Serves as first-level approver for employee timecards and time-off requests within ADP.
  • Provides secretarial and clerical support including document preparation, filing, record retention, and general office administration.
  • Provides backup support for visitor reception and front office activities as needed.
  • Provides backup support for front office operations and administrative functions as needed.
  • Assists with event planning including trade shows, customer training seminars, sales meetings, company events, and other activities.
  • Performs other related duties as assigned.

Trade Show and Event Responsibilities

  • Manages company participation in trade shows and industry events globally.
  • Signs booth contracts and manages associated payments.
  • Coordinates attendee registrations, schedules, hotel accommodations, travel arrangements, facilities, vendors, and related logistics.
  • Orders booth furnishings, utilities, shipping, and related services.
  • Coordinates trade show promotional materials, merchandise, and branded products.
  • Coordinates onsite and virtual training events for customers and sales personnel.
  • Secures training space and facilities.
  • Communicates with and registers attendees.
  • Prepares and distributes training materials.
  • Coordinates catering and event logistics.
  • Moderates training webinars and virtual customer events.
  • Coordinates pre-show and post-show sales and marketing communications.

Education & Experience:

  • Associates degree or higher in business administration, business management, or a related field preferred.
  • 3+ years’ Demonstrable work experience in an administrative role or sales support role.
  • Experience with sales industry software and client relationship management (CRM) systems, or similar.
  • Proficiency in word processing and spreadsheet software.
  • Excellent written and verbal communication skills, as well as customer service skills.
  • Exceptional interpersonal skills and a proactive approach toward problem-solving.
  • In-depth knowledge of administrative recordkeeping practices.
  • Familiarity with sales contracts and agreements.
