Job description

Title: Inspection / Permit Coordinator - South Florida

Location: Pompano Beach, Florida (in office full-time position)


Job Duties:

  • Coordinate and schedule all annual inspections, code upgrade repair inspections, and 5-year inspections between customers, third-party inspection companies, managers, and mechanics.
  • Ensure all purchase orders are properly aligned and processed for third-party inspection companies.
  • Track and manage all inspection reports within the company database and inspection tracker.
  • Coordinate with mechanics and the service team to ensure all violations are completed in a timely manner and follow through until completion.
  • Schedule and coordinate re-inspections when required.
  • Send completed inspection reports and related documentation to clients.
  • Manage inspections from start to finish, ensuring all deadlines and compliance requirements are met.
  • Provide weekly inspection status updates during service meetings.
  • Pull and process permits for the service and repair team through the appropriate counties and municipalities.
  • Maintain accurate records of permits, inspection statuses, violations, and completion dates.
  • Communicate professionally with customers, inspectors, mechanics, and internal staff regarding scheduling, compliance, and project updates.

Must Have Qualifications:

  • Minimum of 2–3 years of similar service or comparable industry experience
  • Proficient in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Proficient in smartsheet and database tracking systems.
  • Highly detail-oriented with exceptional organizational skills.
  • Ability to manage projects from start to finish and prioritize multiple tasks simultaneously.
  • Strong written and verbal communication skills.
  • Ability to work in a fast-paced environment and meet deadlines.
  • Strong follow-up and problem-solving abilities.
  • Prior experience in the elevator industry is a plus.
