General Description
This role focuses on accurate and timely data entry across multiple databases, including Salesforce, SEAMS, and WISE, while ensuring client records and documentation are complete and up to date. It requires strong attention to detail, customer service skills, and cross-departmental collaboration to help clients meet program requirements, secure employment, and access training opportunities.
Key Responsibilities
  • Consistent and accurate data entry of all client information, including attendance, documentation, and case notes. Evaluates documentation for validity and confers with management as appropriate
  • Generate and interpret reports from the Salesforce, SEAMS, and WISE databases
  • Checking information received via fax, email, and in person, against data available in three databases
  • Working in multiple databases simultaneously, including Salesforce, SEAMS, and WISE.
  • Checking the department voicemail and returning the calls with relevant information
  • Messaging program requirements with excellent customer service and directs clients to the next steps
  • Maintaining confidentiality of clients’ personal information, according to funder guidelines
  • Pulling the services report from Salesforce, and cross-referencing with the data entered in SEAMS and WISE
  • Utilizing SEAMS to correct and confirm the customer's contact information in Salesforce
  • Placing outreach phone calls to customers for various reasons. Including inquiring about and addressing their needs. As well as providing recruitment events, training opportunities, and job interview information
  • Collaborating with different departments, with the goal of helping customers be successful in their employment search and training needs
  • Prioritizes workload to meet tight daily deadlines
  • Other duties as assigned
Minimum Qualifications
  • High School Diploma required
  • Proficiency in Microsoft Office
  • Results-oriented with a strong attention to detail
  • 1-2 years’ experience in data entry and customer service
  • Ability to achieve goals with minimum supervision
  • Ability to prioritize and handle repetitive tasks
  • Ability to read and interpret documents, contracts, and procedure manuals.
  • Ability to write professional emails
  • Ability to speak effectively and persuasively before executive leaders and others
  • Ability to apply concepts of basic mathematics.
  • Ability to solve practical problems and deal with a variety of situations.
  • Prior experience with Salesforce and SEAMS is a plus.
Pay Range: $18.27/hr - $19.23/hr
