Job description

The individual will serve as a central coordination point across cross-functional teams, helping to manage project timelines, track key initiatives, and identify gaps or risks. This role will partner closely with commercial leadership, operations, finance, IT, and logistics to support execution of growth initiatives, streamline processes, and ensure alignment across teams. Success in this position requires strong project management skills, attention to detail, and the ability to balance multiple priorities while maintaining clear and concise communication.

Job duties:

  • Naloxone Commercial Operations & Process Support
    • Supports the Naloxone team during high demand periods, including customer service and operational needs
    • Supports Naloxone projects that require collaboration across multiple business units, this may include:
      • Returns process: Assist with customer communications for the sales team, improve visibility to customer inventory to anticipate returns, and support alignment with corporate returns processes.
      • Warehouse and operations processes: Partner with logistics to review shipping methods, identify cost savings and efficiency opportunities (e.g., pack-outs, freight options), and track key KPIs such as order fulfillment timing.
      • Shipment tracking and reporting: Maintain regular shipment tracking and dashboards, including on-time delivery metrics and coordination with internal and external partners on trends or issues.
      • Financial process visibility: Work with Finance to improve visibility into consolidated invoices, taxes, and transaction fees, and support related process improvements.
      • Portal and systems support: Coordinate back-end updates for customer- or partner-facing portals and systems, including ticket management, basic scoping with cross-functional teams, acting as an operations point of contact for integrations, and completing basic testing.
      • Reporting and analytics support: Develop an understanding of current reporting data sources and partner with IT/Analytics to support enhancements and integration of additional data into tools such as PowerBI.
  • Commercial Growth Initiatives & Project Support
    • Serve as a key coordination point for early stage initiatives, within the growth channel, that don’t yet have a natural single owner.
    • Support project management for early-stage growth opportunities, ensuring timelines, tasks, and cross-functional deliverables are clearly defined and tracked.
  • Initiative Tracking, Reporting & Team Coordination
    • Maintain a centralized tracker of departmental annual initiatives, TIP objectives, and key projects, ensuring status, risks, and gaps are clearly identified and communicated to leadership.
    • Develop and maintain a simple, easy-to-use project dashboard that provides visibility to current projects, owners, and status.
    • Learn and apply basic PowerBI skills to support minor updates and enhancements to Operations-owned reports.
    • Coordinate agendas, notes, and action items for team and project meetings, ensuring ownership, follow-up, and TIP tracker updates are consistently managed.

Required Qualifications:

  • Bachelor's degree in business, project management, supply chain or related field – or equivalent practical experience
  • 5+ years of experience in project management, sales administrative or operations support, preferably in a pharmaceutical or regulated environment
  • Demonstrated experience managing multiple concurrent projects and competing priorities, with a track record of driving execution and follow-through
  • Experience building and maintaining project trackers, dashboards and status reporting for leadership visibility
  • Excellent written and verbal communication skills with experience and confidence in facilitating discussions across all levels of the organization, including international teams
  • Strong analytical, organizational and problem-solving skills with a high level of attention to detail
  • Comfort working in a fast-paced, ambiguous environment and stepping into initiatives without a defined owner
  • Strong proficiency in Excel and PowerPoint Basic working knowledge of PowerBI (or comparable BI/reporting tool) or willingness to learn
