Job description

Intake Specialist

In this remote position, the Intake Specialist communicates with callers who are referred to or interested in counseling services at JFS. The Intake Specialist will perform brief telephone screenings to determine a client's main reason(s) for seeking services, identify a therapist who can best meet their needs, and schedule the first appointment.

Responsibilities:

  • Communicates with JFS callers who are seeking assistance with mental health issues
  • Schedules intake appointments with appropriate clinicians based on agency policy
  • Returns all intake calls within 24-48 hours
  • Maintains and updates client waitlist
  • Assists Director of Clinical Operations with insurance verification process
  • Accurately documents all communications with clients in the Electronic Health Record (EHR)
  • Assists inputting client documents into the EHR
  • Assist Psych Specialist with prescription/refill requests, including completing prior authorizations for medications when necessary
  • Maintains compliance with federal, state, and local laws and regulations
  • Provides administrative support as needed
  • Other duties as assigned

Requirements:

  • High School Diploma or GED required
  • College level or related technical school desired but not required
  • Excellent judgment, ability to be proactive and culturally sensitive, and the flexibility to adapt to change
  • Strong interpersonal, written, and verbal communication skills with the ability to present effectively
  • Previous experience and knowledge of confidentiality issues and regulations
  • High attention to detail and the ability to work both independently and as part of a team
  • Effective time management with the ability to manage multiple projects
  • Experience with Microsoft Word and Excel, and the ability to easily navigate multiple software applications
  • Skills and capabilities in reporting, administrative writing, managing processes, organization, analyzing information, and problem solving
