Job Type: Part-Time, 20-25 hours/week

What You'll Do

  • Greeting families and guests with warmth and professionalism. Your goal will be making everyone feel seen and valued.
  • Checking in clients, answering phones and emails and assisting with insurance information
  • Managing appointment scheduling, rescheduling and cancellations while keeping therapists informed
  • Supporting daily operations with filing, data entry and organization
  • Coordinating interpreter services to ensure accessible care for all families
  • Ordering and maintaining facility, office and janitorial supplies
  • Keeping the lobby and shared spaces clean, safe, and welcoming
  • Following safety procedures to support a secure environment for all
  • Opening and closing the center with attention to detail
  • Staying up to date on programs, classes and special events to better support families
  • Partnering with the rest of the Family Engagement Team on intake tasks
  • Supporting the Pediatric Therapy Team with front office coordination and basic facility needs
  • Jumping in wherever needed to support the Encompass team
Qualifications

What You Bring

You're a people-centered, detail-oriented professional who enjoys balancing multiple priorities while delivering excellent service.

Required:

  • At least 2 years of relevant experience
  • A strong customer-service mindset with a genuine desire to help others
  • Excellent verbal and written communication skills
  • Ability to multitask and prioritize in a busy environment
  • Dependability and flexibility, including willingness to adjust hours to support the team
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite
  • Ability to maintain confidentiality and exercise sound judgment
  • A proactive, independent work style paired with a collaborative team spirit
  • CPR & First Aid certification (or willingness to obtain upon hire)
  • Valid driver's license, insurance and reliable transportation

Preferred:

  • Bilingual in English and Spanish

Work Environment

This role is based in a friendly, active office setting. Some light lifting (up to 20 pounds), bending and occasional exposure to cleaning products may be required.
