Job description

JOB DESCRIPTION

This is not a traditional warehouse inventory or logistics role. We are not a high-volume shipping operation or distribution center. Instead, this position is focused on managing a dynamic inventory of event props and decor used for rentals.
We are seeking a highly organized and detail-oriented Prop Master / Decor Inventory Specialist to oversee and maintain the integrity of our warehouse inventory. This role is responsible for ensuring that all props and decor are accurately tracked, properly stored, and readily accessible for event execution. The ideal candidate will combine strong organizational systems with a hands-on approach to maintain a clean, efficient, and accountable warehouse environment.

RESPONSIBILITIES
  • Maintain complete accountability for all warehouse inventory, ensuring all props and decor are accurately tracked, stored, and returned to their designated locations
  • Organize and systematize warehouse layout, including labeling racks, shelves, and storage areas for efficient navigation and retrieval
  • Direct and support pull staff by identifying exact locations of items and ensuring accurate fulfillment of event orders
  • Utilize inventory management software (Intellivent) to track outgoing and incoming items for events
  • Ensure all returned items are properly checked in, inspected, and returned to their correct locations
  • Conduct quality control checks on props and decor, identifying missing components, damage, or maintenance needs
  • Coordinate and flag repair or maintenance requirements for props as needed
  • Resolve inventory discrepancies, including mislabeled, misplaced, or incomplete items
  • Maintain a clean, organized, and efficient warehouse system to improve speed and accuracy of operations
  • Join installation team on job sites during installation and removal of event props and decor

DESIRED SKILLS & EXPERIENCE
  • Strong organizational skills with the ability to build and maintain systems 
  • Ability to work independently while also supporting team operations 
  • Experience in special events, hospitality, theater, or a related industry preferred 
  • Familiarity with inventory management systems or similar software 
  • Proficiency in Microsoft 365 (Excel, Word) 
  • High attention to detail and commitment to accuracy 
  • Problem-solving mindset with the ability to identify and correct inefficiencies 
  • Comfortable performing physical tasks, including lifting up to 50 lbs and working on ladders 
  • Ability to balance hands-on warehouse work with administrative/computer-based tasks
  • Ability to work occasional weekends and overtime as necessary

Minimum Qualifications

  • Experience in the Special Events / Hospitality industry / Theatre or related field
  • Bachelor’s Degree
