Job description

Reports to (title): Manager, Customer Experience
The JCC Chicago is looking for a Front Desk Engagement Specialist to join the team! The Front Desk Engagement Specialist is responsible for providing excellent customer service to the patrons of the Bernard Weinger JCC. As the initial point of contact, the Engagement Specialist is a welcoming presence at the front desk, team player and problem solver with a "can-do" attitude that always maintains a positive image of the agency.
Key areas of responsibility:
Customer Engagement
  • Own "One J" message, agency mission and integrates these into their daily interactions with the community members we serve.
  • Work closely with the Manager, Bernard Weinger to create and maintain a warm, welcoming ambiance in common areas, ensuring appearance and upkeep of the space; possess a driving passion for creating a positive experience.
  • Greet every person who enters the building; foster positive relationships.
  • Act as a concierge for staff and guests; remain up to date on JCC website; proactively stay informed of all offerings at your location and agency initiatives; up and cross-sell, guide members in program offerings; field JCC Fitness membership inquiries and related services; conduct fitness membership tours as needed.
  • Direct members and staff to activities throughout the facility. Support world class service model by actively engaging with customers; take ownership of every situation through resolution. Delegate tasks to co-workers to ensure timely completion, if appropriate. Follow up to ensure customer need has been satisfied (as appropriate.)

Administration & Operations
  • Maintain a smooth and efficiently run main desk; answer and transfer all calls in a timely manner; use operating systems to prepare for members and visitors arrival following all check-in and safety procedures.
  • Process registrations and payments; receive cash, check, and credit card transactions; process end of day paperwork per cash handling and operating standards.
  • Provide administrative support to Bernard Weinger JCC as needed. Be proactive in seeking out daily, weekly, and monthly projects to support programs and services as assigned by Manager.
  • Maintain updated door access for participants through the JCC operating system; ensure all staff and participants show proper photo identification/badge validating purpose for being on site and/or in the building.

Essential Job Duties / Physical Duties
  • Repetitive movement of arms and hands to operate computer, keyboard and mouse.
  • Ability to stand; walk and stoop, kneel, crouch, or crawl.
  • Ability to operate equipment such as phone, computer keyboard, calculator and standard office equipment.
  • Be able to frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 25 pounds.
  • Vision: close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
  • React with physical and mental alertness in emergency situations and assist in evacuation of building.

Days/Hours:
Part time - 9 hours per week
  • Sunday: 7:00 AM - 1:00 PM
  • Tuesday: 5:45 PM - 9:00 PM

Requirements:
  • High school diploma required; Associates or Bachelors degree preferred.
  • Previous administrative support experience in a highly customer service-oriented environment preferred.
  • Previous experience in a sales role and/or busy front office operations helpful.
  • Intermediate proficiency in Microsoft Word, Excel, Salesforce, or similar CRM databases with the ability to learn other systems as required; paid training provided.
  • Good organizational and multitasking abilities; detail orientation a must.
  • Ability to work independently and with initiative, planning, organization, and follow through essential.
  • Strong team spirit and desire to work with others to achieve the goals and mission of the Engagement department.
  • Must have access to reliable transportation and a valid driver's license.
