Legal Administrative Assistant (Environmental/Regulatory/Legislative)
Department: Environmental/Regulatory/Legislative
Reports To: Office Administrator
FLSA Status: Non-Exempt
Jackson Walker, the largest law firm in Texas, has an exciting full-time employment opportunity for a Legal Administrative Assistant (LAA) in our Austin office. This role provides high-level administrative support to attorneys within the Environmental/Regulatory/Legislative Practice Group ("ERL PG") in Austin. The ERL Legal Administrative Assistant provides high-level administrative and legal support to attorneys within the Environmental, Regulatory, and Legislative Practice Group. This role supports regulatory and litigation-related matters through document preparation, e-filing support, docket monitoring, billing coordination, calendar management, and organization of legal records and correspondence. The position requires strong technical skills, attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Legal & Regulatory Support
  • Prepare, proofread, and format legal documents, pleadings, discovery, memoranda, exhibits, and correspondence.
  • Perform electronic filings with regulatory agencies and assist with administrative law filings.
  • Monitor regulatory dockets and maintain organized electronic records.
  • Open new matters and submit conflict requests.

Billing & Administrative Coordination
  • Assist with timesheet entry, billing review, prebill processing, and matter budget tracking.
  • Coordinate travel, meetings, appointments, and expense reimbursements.
  • Manage document distribution, profiling, and records organization within Firm systems.

Calendar & Workflow Management
  • Maintain attorney calendars and monitor deadlines and key dates.
  • Prioritize incoming workflow and manage multiple concurrent assignments.

Client Service & Communication
  • Maintain professional communication with attorneys, clients, and staff.
  • Respond to client calls and messages in a timely and professional manner.
  • Maintain confidentiality of Firm and client matters.

General Administrative Support
  • Provide overflow administrative assistance and support additional projects as assigned.

QUALIFICATIONS:
  • High school diploma or GED required; bachelor's degree preferred.
  • Minimum of 5 years' administrative law or contested case litigation experience required.
  • Experience with regulatory agencies such as PUC, Railroad Commission, SOAH, or TCEQ preferred.
  • Experience with data rooms and discovery management preferred.
  • Strong proficiency in Microsoft Office Suite, iManage, e-filing platforms, and time entry systems.
  • Strong organizational, proofreading, communication, and time management skills.
  • Ability to prioritize multiple deadlines and work effectively in a fast-paced environment.
  • Ability to maintain confidentiality and exercise discretion.
