Job Summary:

The Tenant Coordinator serves as a key point of contact for tenants, vendors, and visitors and manages many aspects of day-to-day office operations. From responding to tenant requests to handling building access, this role requires a customer-focused team player who can keep many important details organized in a fast-paced, dynamic environment.

What You'll Do:

  • Act as the first point of contact with tenants for communications from the Property Management team including but not limited to tenant memos, emergency communications, rent statements, newsletters and invitations to events.

  • Oversee the tenant work order system collaborating with team members to ensure customer service goals are achieved.

  • Participate in customer service initiatives such as First Hour Focus.

  • Act as the liaison with vendors as designated by supervisor including but not limited to janitorial request logs, vacancy reports and security shift briefings.

  • Support the property team in key operational processes such as the annual budget, quarterly reports, access card management, tenant surveys, and the Operational Audit.

  • Maintain lease and building files, property contact lists, emergency contact information, building permits, purchase order log and Certificates of Insurance for tenants and vendors.

  • Prepare accounts payable invoices for approval and process all aspects of tenant billings. Manage AP inquiries and past due issues from vendors.

  • Assist the Property Management team with the tenant move-in/move-out process including signage, vendor and/or tenant access, and tenant welcome packages.

  • Support the Property and Engineering teams by drafting contracts and purchase orders for capital and routine maintenance projects.

  • Sort and distribute mail, oversee office appearance, order and maintain office supply inventory.

  • Miscellaneous duties as assigned.

What You'll Need:

  • Experience in residential or commercial real estate preferred.

  • 2+ years of administrative experience in a corporate environment.

  • Bachelor’s Degree preferred.

  • Strong proficiency in Microsoft Excel, Word, and PowerPoint.

  • Excellent communication and interpersonal skills.

  • Ability to multitask and prioritize in an extremely fast-paced environment.

  • Detail-oriented with strong follow-up skills.

  • Professional and personable with excellent customer service skills.

  • Ability to work independently and effectively collaborate.

  • Ability to work under pressure and manage competing priorities while staying focused and meeting deadlines without sacrificing accuracy.
