VP Deposit Operations – In Office Position, Knoxville Tennessee

Opportunity is open for a candidate who has the following hands on experience in deposit operations across both branch and back office department that has a strong foundation in banking regulations. Must be familiar with core system functionality and architecture, experienced in project implementation and testing, and ability to develop, refine, and enhance operational processes to ensure efficiency. This individual will serve as a Subject Matter Expert (SME), providing guidance and expertise across each of these areas.

The VP of Deposit Operations is responsible for overseeing the day-to-day back office functions of the bank's deposit and digital operations department. This role ensures accurate, efficient, timely and compliant processing of all deposit-related and digital banking activities, including ACH, wire transfers, mobile and remote deposit capture, online banking, certificate of deposits, and exception item handling. This position works within the core system to create and update products, add users and review bank parameters. This position leads cross-functional projects aimed at improving operational efficiency and the digital banking experience, provides leadership to the operations team, and drives continuous process improvement across all deposit and digital functions.

Essential Duties and Responsibilities

  • Manages the daily workflow of back office deposit operations, ensuring timely and accurate processing of transactions including ACH origination and receipt, wire transfers, check processing, returned items, and account maintenance. Monitors transaction queues and exception reports, taking corrective action as needed to maintain service standards and minimize risk exposure. Oversees the handling of stop payments, account holds, garnishments, levies, and other legal orders in accordance with bank policy and applicable law.
  • Oversees the administration and operational performance of the bank's digital banking platforms, including online banking, mobile banking, bill pay, mobile deposit capture, and digital account services. Partners with IT, retail banking, and third-party vendors to ensure digital channels are functioning accurately, securely, and in alignment with customer expectations. Serves as the operational point of contact for digital banking issues, system enhancements, and new feature rollouts. Monitors digital transaction activity for anomalies, errors, and potential fraud, coordinating with appropriate teams to resolve issues promptly.
  • Leads and coordinates deposit and digital operations projects from initiation through completion, including system upgrades, process improvements, new product implementations, and regulatory-driven changes. Develops project plans, timelines, and status updates, communicating progress to senior management and key stakeholders. Partners with Compliance, IT, Retail Banking, and other departments to ensure project objectives are met on time and within scope. Maintains documentation for all completed projects, including procedure updates, training materials, and post-implementation reviews.
  • Ensures department procedures and practices remain in compliance with applicable regulations including Regulation E, Regulation CC, NACHA Operating Rules, FinCEN requirements, and BSA/AML guidelines. Maintains and updates departmental policies and procedures to reflect regulatory changes, system updates, and operational best practices. Partners with Compliance and Audit teams to support internal reviews, examinations, and regulatory inquiries.
  • Manages relationships with core processors and third-party vendors supporting deposit and digital operations functions. Collaborates with IT and core banking platform teams to test system updates, implement enhancements, and troubleshoot processing issues. Participates in business continuity planning related to deposit and digital operations systems and workflows.

Qualifications

  • Minimum 5–7 years of experience in bank deposit operations, digital banking, or back office banking functions, with at least 2–3 years in a supervisory or management capacity. Demonstrated experience managing operational projects and cross-functional initiatives in a banking environment. Working knowledge of digital banking platforms and related vendor relationships preferred.
  • Strong working knowledge of NACHA rules, Regulation E, Regulation CC, and related banking regulations. Familiarity with digital banking platforms, online banking administration, and mobile deposit processing. Proficiency with core banking systems and MS Office Suite, particularly Excel. Strong project management skills including the ability to develop project plans, manage timelines, and communicate status to stakeholders. Excellent analytical, organizational, and problem-solving skills. Strong written and verbal communication skills with the ability to translate complex procedures into clear guidance for staff and stakeholders. Ability to manage multiple priorities in a fast-paced environment while maintaining accuracy and composure.
