Job description

Academic Services Specialist amp; VA Certifying Official

Position Summary:

This position reports to the Associate Registrar (or Registrar) and serves as the primary Academic School Certifying Official (SCO) for military-affiliated students. The Specialist combines front-line student academic service with military enrollment certifications, transcript processing, digital archiving, and incoming record intake.

Responsibilities:

  • Academic VA Certification: Evaluate military-affiliated student course loads and process VA educational certifications and enrollment changes in VA Enrollment Manager.
  • Military Student Services: Serve as the primary point of contact for veterans, active-duty military, dependents, ROTC students, and consortium agreements. Cultivate a supportive, inclusive atmosphere for all military-affiliated students and staff.
  • Transcript amp; Student Records: Process incoming transcripts, official transcript requests, degree and enrollment verifications, graduation applications, student record updates, and account holds.
  • Digital Records Management: Scan, index, and securely maintain student records in Laserfiche according to university policies.
  • Student Support: Provide front-counter, phone, and email assistance with registration forms, add/drop requests, and Student Planning.
  • Performance Expectations (KPIs):
    • Submit 100% of VA certifications within 30 days of the start of each term.
    • Process 95% of official transcript requests within two business days.
    • Archive 100% of end-of-term student records within 10 business days.
  • Other Duties: Perform other duties as assigned.

Qualifications:

  • Education amp; Experience: Bachelor's degree preferred. High school diploma or associate degree with relevant experience required. Experience with VA educational benefits, student records, higher education administration, customer service, or data entry preferred.
  • Faith Alignment: Active member of a local church who supports Oklahoma Christian University's Christian mission and values.
  • Communication: Excellent written and verbal communication skills with a welcoming, service-oriented approach.
  • Work Style: Detail-oriented, organized, and able to work independently in a fast-paced environment.
  • Professional Attributes: High level of integrity, discretion, and ability to manage confidential student information.
  • Technical Skills: Familiarity with VA Enrollment Manager, Colleague, Laserfiche, or similar student information systems is preferred.

Work Conditions:

  • Standard hours: 8:00 a.m. to 5:00 p.m.
  • Occasional evening or weekend coverage required for commencement events.
  • Primarily indoor office setting.
