ECM Consultant (M-Files / Metadata & Workflow Architecture)
Overview
We are seeking a highly specialized ECM Consultant with deep expertise in document management systems, metadata-driven architecture, and workflow configuration within M-Files.
This consultant will play a critical role in validating and advising on metadata architecture and workflow design as our client evaluates multiple configuration approaches within a test environment. The goal is to ensure scalability, accuracy, and alignment with ECM best practices before moving into broader implementation.
Key Responsibilities
  • Assess and validate metadata architecture within M-Files, ensuring it is structured for scalability, usability, and long-term governance
  • Evaluate and verify workflow configurations, including logic, states, transitions, and automation rules
  • Provide expert guidance on best practices for metadata-driven systems, including object types, class structures, and relationships
  • Review multiple architectural approaches in a test environment, offering recommendations on optimal design
  • Identify risks, gaps, or inefficiencies in current configurations and propose improvements
  • Support preparation for system validation and user testing, ensuring configurations are production-ready
  • Collaborate with internal stakeholders to align technical design with business requirements

Required Experience
  • Hands-on experience with M-Files (required)
  • Proven expertise in:
    • Metadata architecture design
    • Workflow configuration and validation
    • Document management systems and ECM frameworks
  • Experience working in test/sandbox environments, validating multiple system configurations
  • Strong understanding of scalability, governance, and system design principles in ECM platforms
  • Ability to translate technical configurations into clear recommendations for business stakeholders

Preferred Qualifications
  • Prior experience advising on or implementing metadata-driven systems at scale
  • Experience supporting system validation, QA, or UAT processes
  • Background in regulated environments or structured document control is a plus
