Job description

Are you a law firm Receptionist? Would you like to work with one of the top law firms in the US? If so, R & W Group has a fantastic new opportunity! One of our favorite law firm clients is looking for a temporary Receptionist to join the Boston office. As the first point of contact for clients, guests, and employees, you would play a critical role in creating a welcoming and seamless experience that reflects the firm's commitment to excellence, professionalism, and client service.
You must thrive in a fast-paced environment, demonstrates exceptional organizational and communication skills, and be committed to delivering outstanding service while managing multiple responsibilities with discretion, professionalism, and efficiency.
Key Responsibilities:
  • Welcome and assist clients, guests, and visiting attorneys and staff, ensuring a professional and positive first impression.
  • Answer a multi-line telephone system in a courteous and professional manner; route calls and messages promptly to the appropriate attorney or staff member and respond to
  • routine inquiries.
  • Coordinate catering orders for meetings and events, accommodating a variety of dietary needs.
  • Prepare, set up, and break down conference rooms, including arranging beverages, food, supplies, and room configurations for meetings and events.
  • Provide backup support by coordinating audiovisual and technology needs with the Information Technology department for meetings and events.
  • Maintain inventory of pantry, visitor office, and conference room supplies, including coffee, tea, milk, beverages, and general office supplies.
  • Provide backup telephone coverage for other firm offices, as needed.
  • Coordinate visitor office and conference room assignments for employees visiting the Boston office and assist with new employee onboarding and departure logistics, as needed.
  • Assist the Office Manager by coordinating with building management regarding facility-related service requests, including HVAC, lighting, and other maintenance issues.
  • Arrange local transportation for clients, guests, attorneys, and staff, as needed.
  • Issue temporary building access credentials to attorneys and staff, coordinate access to firm space, and maintain the Temporary Badge Log.
  • Distribute parking validation tickets to clients and guests and maintain associated records.
  • Assist with event preparation and cleanup while maintaining marketing and hospitality supplies, ensuring adequate inventory levels and proactively communicating replenishment needs.
  • Retrieve, sort, document, and distribute incoming mail daily, including researching and resolving unidentified mail.
  • Process invoices and expense reimbursements through Emburse.
  • Maintain a professional, organized, and welcoming reception area, including the seating area, floral arrangements, and reading materials.
  • Provide overflow and backup administrative support to the ARC Support team in the Boston office, as needed.
Qualifications
  • High school diploma or equivalent required.
  • Minimum of one (1) year of receptionist experience in a law firm, professional services firm, or other client-facing environment.
  • Proficiency with Microsoft Office Suite and Windows operating systems.
  • Ability to work effectively with attorneys, clients, and staff at all levels of the organization with professionalism, tact, and diplomacy.
  • Ability to work independently while exercising sound judgment and initiative.
  • Strong general administrative and clerical skills.
  • Proficiency in operating standard office equipment.
  • Excellent organizational, planning, and time management skills.
  • Demonstrated ability to handle confidential and sensitive information with the highest level of discretion.
  • Strong problem-solving and critical-thinking skills.
