Job description

Temporary Digitization and Organization Specialist

In this temporary role with Surface Water Management (SWM), you will be supporting the digitization and organization of records for the division. Maps, GIS data, historical documentation, property boundaries, flood zones and more are currently on multiple media sources. In an effort to be more efficient, these documents must be prepped, scanned, indexed, and saved to the server and/or archived through extensive quality control measures in accordance with the Washington State and Pierce County records retention policies. This will improve the processes and efficiency of the Pierce County SWM team.

The department is responsible for the County road and levee systems, sewer systems, airports, ferries, building permits, environmental review, sustainability, community planning, and code enforcement - just to name a few! In this role your success will come from learning and using Pierce County policies and procedures for digitization and begin training in various software, equipment and electronic file systems. Your willingness and ability to be flexible, eager to learn, focus on customer service, attention to detail and a keen ability to ensure accuracy will be key skills in this position.

Core daily responsibilities include:

  • Review files and prepare for scanning.
  • Digitize documents, photos, maps and survey information.
  • Index scanned materials and save them to the County's server using proper naming conventions.
  • Prepare scanned records for destruction by entering the file and document information into a destruction log.
  • Review of electronic files for duplication and those that no longer have a retention value.
  • Assist with the consolidation of two storage sheds, including physically moving materials.
  • Other duties as assigned.
  • Experience with electronic file storage and management.
  • Strict attention to detail and accuracy.

Minimum qualifications include:

  • One year of general clerical work experience using Microsoft Office applications (e.g., Word, Excel, Outlook, TEAMS, etc.).
  • A resume and cover letter are required for this position.

Preferred qualifications:

  • Digitization/document scanning experience.
  • Records management experience is a plus.
