Schedule: Monday through Friday, 7.5-hour workday with a 30-minute unpaid lunch
Work Arrangement: Hybrid, with a minimum of three days onsite per week

Position Overview

A confidential public-sector utility organization is seeking a Regional Real Estate Administrator to support its Corporate Real Estate department in the southeastern New York region. This position will provide ongoing real estate support for major corporate initiatives, operational projects, and regional property matters.

The Regional Real Estate Administrator will help manage real property assets, coordinate permitting activities, support the preparation and execution of property agreements, and serve as a liaison among internal stakeholders, property owners, utility companies, municipalities, consultants, and other third parties.

Responsibilities
  • Support the management of real property assets in accordance with operational, legal, and safety requirements.
  • Foster and maintain positive relationships with property owners and stakeholders throughout the assigned region.
  • Coordinate permitting processes involving fee-owned properties and easement areas.
  • Provide real property information and administrative support for new and developing projects.
  • Assist with preparing, reviewing, tracking, and executing property agreements.
  • Serve as the primary point of contact for third parties seeking access to or use of real estate assets.
  • Coordinate with utility companies, municipal zoning departments, planning departments, consultants, and external agencies.
  • Direct third-party inquiries to the appropriate internal stakeholders and follow through to resolution.
  • Research property ownership, title records, easements, deeds, leases, appraisals, maps, surveys, and related documentation.
  • Review and organize real estate documents for accuracy, completeness, and version control.
  • Maintain property trackers, databases, project-management tools, and document-management systems.
  • Track deadlines, permits, agreements, action items, and outstanding documentation.
  • Support land-acquisition, easement, leasing, permitting, and property-management activities.
  • Represent the Corporate Real Estate department at meetings within the assigned region.
  • Prepare correspondence, reports, presentations, meeting notes, and status updates.
  • Collaborate with legal, engineering, operations, project-management, and other internal teams.
Qualifications
  • Associate degree or higher in Business, Real Estate Administration, Surveying, or a related discipline preferred.
  • Relevant experience may be considered in place of formal education.
  • Previous experience in real estate, land acquisition, utilities, title, surveying, permitting, property administration, or a related field preferred.
  • Experience working within a law office, survey firm, title company, utility, public agency, or other real estate-related environment is highly desirable.
  • Ability to read and review title documents, appraisals, maps, surveys, easements, leases, deeds, and other property agreements.
  • Strong research skills, including experience using county records and property databases.
  • Excellent organizational skills with close attention to accuracy, documentation, and version control.
  • Ability to manage multiple deadlines, maintain task trackers, and communicate proactively.
  • Strong written and verbal communication skills.
  • Sound judgment and the ability to work independently.
  • Ability to collaborate effectively with internal teams, consultants, property owners, municipalities, and external agencies.
Technical Skills
  • Proficiency with Microsoft Word, Excel, Outlook, and PowerPoint.
  • Experience with SharePoint or a similar document-management platform.
  • Experience maintaining trackers, databases, or project-management tools.
  • Familiarity with Geographic Information Systems such as ArcGIS or QGIS is preferred.
  • Familiarity with public records, permitting processes, zoning requirements, or regulatory environments is preferred.
Preferred Qualifications
  • Previous real estate or utility-industry experience.
  • Experience supporting easements, land acquisition, leases, deeds, permitting, or property agreements.
  • Strong conflict-resolution and negotiation skills.
  • Experience coordinating with municipalities, consultants, utilities, property owners, or regulatory agencies.
Assignment Requirements
  • Candidates must reside within the Tri-State area.
  • Candidates must be eligible to work as W-2 employees of the staffing provider.
  • This position is not fully remote and requires at least three days onsite each week, with the possibility of additional onsite days based on business needs.
  • Candidates must have appropriate personal computer equipment and a reliable internet connection for virtual workdays.
  • Work is paid based on actual hours worked. The assignment does not include paid vacation, sick leave, or work during designated organizational holidays.
