Job description

Job Summary
The person in this position will be a key contributor to the team supporting IEEE societies in the receipt, review, and timely publication of journal manuscripts. They will help optimize workflows across vendor teams to deliver best-in-class peer review support for a growing portfolio of journal Editors-in-Chief and Associate Editors. Responsibilities include streamlining processes, overseeing vendor deliverables, and ensuring efficient, reliable peer review workflows. This role also ensures high-quality performance across outsourced resources and vendors while coordinating journal assignments and project tasks.
Key Responsibilities
 

  • Provide leadership for a team of outsourced resources and vendors. Responsibilities include: 
  • Onboarding new vendor resources and appropriately delegating vendors among the portfolio, ensuring a fair and even distribution of work
  • Manage the daily processes, workflows, and projects of publications review, recommending process changes, workflow improvements, and solutions to department senior management as appropriate
  • Support volunteer Editors-in-Chief in the online peer review process by taking on lead responsibility for a portfolio of ScholarOne Manuscripts sites, whether directly or in an oversight capacity. This includes: Database and manuscript processing and handling; managing follow-up processes to ensure papers do not become severely overdue; Working in conjunction with EIC to select associate editors to manage reviews and deliver manuscripts to selected reviewers; Ensuring that associate editors have sufficient information to select peer reviewers for manuscripts; Using functionality of online peer review system, prepare and maintain appropriate correspondence and notifications to system users (EICs, authors, associate editors, and reviewers); Act as first point of contact for system user questions, taking on responsibility to ensure that all questions are answered promptly and in a manner consistent with applicable IEEE policies
  • Work with EICs and editorial board members to create reports to both monitor and expedite the progress of manuscripts in the queue, develop metrics, and monitor the overall activity of all participants.

Education

  • Bachelor's degree in English, journalism, or communications or equivalent experience  

Work Experience

  • Previous experience in publishing, with a focus on peer-review platforms (specifically ScholarOne) is highly desirable.
  • Experience with reporting tools on peer-review platforms and comfort analyzing data.
  • Candidate must have excellent interpersonal, customer service, and communication skills; frequent communication with Editors is required.
  • Must be comfortable as the party responsible for deliverables across a portfolio of publications with differing requirements and deadlines.
  • The ability to handle multiple tasks and meet deadlines, along with the ability to work independently.
