Job description

This is a temporary position with a duration of 9 months.

Location: This will be a hybrid opportunity with a requirement to be on-site at least 2 days a week at our office in Hoofddorp, Netherlands (or Westbrook, ME, USA).

IDEXX is hiring an E invoicing Project Coordinator for its Global Business Services (GBS) organization. GBS Operations are at the core of all commercial transactions at IDEXX, and this role plays a key part in delivering compliant, scalable, and efficient e-invoicing solutions across global and regional markets.

What You Will Be Doing:

  • You will lead and execute einvoicing-related projects end-to-end, from initiation through delivery, ensuring adherence to scope, timelines, and quality targets across global and regional initiatives.

  • You will act as the primary project coordinator and point of contact for einvoicing projects or process improvement initiatives, managing dependencies across Finance, IT, Customer Support, Legal & Compliance, external vendors, and GBS teams.

  • You will coordinate and drive business requirements gathering from crossfunctional stakeholders, translating regulatory, business, and operational needs into clear, structured requirements and project inputs.

  • You will own and manage customer and stakeholder communication, including project updates, timelines, decision logs, risks, and change impacts, ensuring transparency and alignment throughout the project lifecycle.

  • You will facilitate workshops and working sessions focused on einvoicing processes, data flows, regulatory requirements, and system integrations, ensuring shared understanding and actionable outcomes.

  • You will develop and maintain detailed project plans, including milestones, deliverables, risks, and dependencies, and proactively escalate issues or delays to leadership when needed.

  • You will represent GBS operational interests in enterprisewide einvoicing initiatives, ensuring solutions are compliant, scalable, and aligned with OrdertoCash and Accounts Payable processes.

  • You will coordinate GBS implementation activities such as UAT preparation, cutover planning, golive readiness, and postimplementation support for einvoicing solutions.

  • You will collaborate with internal partners and vendors to ensure regulatory compliance (einvoicing mandates) while minimizing operational disruption and customer impact.

  • You will work closely with E-invoicing Process Analyst to support continuous improvement by identifying einvoicing process gaps, standardization opportunities, and automation opportunities based on project outcomes and stakeholder feedback.

  • You will document and communicate project outcomes, lessons learned, and best practices, contributing to organizational knowledge and future einvoicing roadmap planning.

What You Need to Succeed:

  • You have a bachelor's degree or equivalent education.

  • You bring 5+ years of experience leading and executing complex, crossfunctional projects, preferably within Finance Operations, OrdertoCash, Accounts Payable, or compliancedriven environments such as einvoicing or digital transformation initiatives.

  • You have strong project coordination and delivery skills, including planning, execution, dependency management, risk tracking, and stakeholder alignment; formal project management certification (PMP, PRINCE2) is a plus.

  • You are experienced in gathering, structuring, and managing business requirements from crossfunctional teams, and are able to translate regulatory, operational, and technical needs into clear, actionable project inputs.

  • You are comfortable working in regulatory or compliancedriven environments, with the ability to balance local requirements, global standards, and operational feasibility.

  • You have a demonstrated ability to lead initiatives independently, take ownership of deliverables, and drive projects forward in a structured and handson manner.

  • You have strong stakeholder management skills, enabling you to build credibility quickly and collaborate effectively with Finance, Customer Support, IT, Legal & Compliance, vendors, and operational teams at multiple levels of the organization.

  • You have affinity with SAP and Finance processes, particularly OrdertoCash and Accounts Payable; experience with system integrations or invoicing platforms is highly beneficial.

  • You are highly organized, detailoriented, and able to manage multiple initiatives simultaneously, adjusting priorities as business needs evolve.

  • You are proficient with Microsoft Office tools (Excel, PowerPoint, Teams) and familiar with collaboration and projecttracking tools such as Smartsheet, Visio, or similar platforms.

  • You are a collaborative team player with strong analytical thinking, high ethical standards, emotional intelligence, and a continuousimprovement mindset.

  • You possess excellent communication skills in English, both written and verbal, with the ability to create clear customer and stakeholderfacing communications, including project updates, impact assessments, and decision documentation.
