Job description

Temporary HR Coordinator opportunity for document management and scanning project, responsible for reviewing, organizing, scanning, filing, and securely disposing of physical and digital documents. This role ensures accurate record retention, compliance with company policies, and the secure handling of sensitive information. The coordinator will maintain high attention to detail, follow established retention schedules, and support HR and operational teams by improving document accessibility and organization.


Key Responsibilities

Document Review & Preparation

Sort, categorize, and prepare paper documents for scanning or filing.

Identify duplicate, outdated, or incomplete records and flag issues for HR review.

Remove staples, clips, and bindings to prepare documents for high‐volume scanning.

Scanning & Digital File Management

Operate scanning equipment to convert paper documents into digital formats.

Ensure scanned files are clear, complete, and properly indexed.

Upload digital files into designated folders, HRIS, or document management systems.

Maintain naming conventions and organizational standards for digital records.

Filing & Records Organization

File physical documents according to established HR or departmental filing systems.

Maintain organized file cabinets, storage boxes, and digital archives.

Track retention timelines and ensure files are stored according to compliance requirements.

Secure Document Destruction

Identify documents eligible for destruction based on retention schedules.

Coordinate the secure destruction of approved documents through a professional shredding company.

Maintain destruction logs when required for compliance or audit purposes.

Compliance & Confidentiality

Handle all documents in accordance with company confidentiality policies.

Follow federal and state record retention guidelines.
