Job description

Office Assistant

Job Summary/ Objective:

The Albemarle County Sheriff’s Office to a dependable and detail-oriented individual to join the team in a temporary, part-time office support role. This individual will assist with day-to-day administrative tasks such as data entry, filing, answering phones, and supporting general office needs. The ideal candidate is organized, communicates clearly, and can adapt quickly to a fast-paced environment. Though a short-term assignment, this is a great opportunity to gain valuable hands-experience!

Term of Position: June 1st through approximately end of September

Office Hours Requirement: Position must perform work in office Monday – Friday during hours of operation, 8a-4p. Hired candidate will work approximately 20 hours per week.

Essential Functions:
  • Supports customer service program and responds to public concerns as necessary: screens visitors, callers, U.S. mail and email, independently answering inquiries when possible, or directing to appropriate staff when necessary, and facilitating staff responses.
  • Supports team by performing tasks related to organization and strong communication
  • Establishes and maintains files. Files documents and other materials.
  • Completes data entry into computer system as assigned.


Competency: Knowledge/ Skills/Abilities:
  • Comprehensive knowledge of standard office practices, procedures, equipment and clerical techniques.
  • Comprehensive knowledge of business English and spelling.
  • Ability to establish and maintain effective working relationships with employees and the general public, as well as government officials.
  • Ability to use a variety of office equipment, including computer, copier, postage meter, Fax, printer, multiple-line phone, paper folder, laminator, projector, and scanner.
  • Ability to prioritize work to meet specified deadlines;
  • Ability to deal effectively with co-workers, state/federal agencies, etc.;
Required Education and Experience:
  • Any combination of education and experience equivalent to graduation from high school; and
  • At least three years extensive, increasingly responsible experience in administrative support (including computers, bookkeeping, and accounting, and considerable experience involving the maintenance of complex financial statistical records).
  • Considerable experience using personal computers.
Physical and Mental Requirements:
  • Some contacts are made with individuals from other internal units or outside organizations or the general public for purposes of exchanging information which may require some judgment or interpretation.
  • Communication is usually cooperative in nature with infrequent conflicts resolved by higher authority.
  • Conducts work in a sitting position; however, job requires frequent standing, walking, bending, stooping and light lifting.
  • Requires frequent operation of a variety of office machines
