Overview

The Data Entry Specialist plays a critical role in ensuring the accuracy, integrity, and timely processing of participant information within PlanSmart. This position is responsible for reviewing, interpreting, and processing participant documentation across multiple operational queues while maintaining strict adherence to quality standards, compliance requirements, and service level expectations.

They possess strong analytical and organizational skills, can accurately extract data from a variety of document types, and are committed to maintaining confidentiality when handling sensitive participant information. This role requires the ability to consistently meet productivity and accuracy standards while supporting audit readiness and operational excellence.

Job Responsibilities

  • Process participant documentation through multiple operational work queues, including Scan Queue, Data Entry Element Queue, Fax Queue, Returned Mail Queue, Manual Audits, Gatekeeping Queue, and CAM Queue.

  • Review, interpret, and validate participant documentation, including identification records, tax documents, forms, and verification materials.

  • Accurately extract and enter required data elements into PlanSmart and related systems.

  • Ensure all transactions meet established quality, compliance, and processing standards.

  • Identify, research, and escalate discrepancies, incomplete documentation, or processing exceptions.

  • Maintain data accuracy and integrity while processing high volumes of participant records.

  • Support audit readiness through thorough and accurate documentation practices.

  • Adhere to established service level agreements and processing turnaround requirements.

  • Manage workload effectively while balancing competing priorities and deadlines.

  • Follow all company policies and procedures related to data privacy, confidentiality, and information security.

  • Collaborate with team members and leadership to resolve processing issues and improve operational efficiency.

  • Meet and/or exceed productivity, accuracy, and quality performance expectations.

Required Experience

  • High school diploma or equivalent required.

  • 1+ years of data entry, document processing, administrative support, or related experience.

  • Experience working in production-based or high-volume processing environments preferred.

  • Experience handling confidential or sensitive information preferred.

  • Strong computer proficiency and experience navigating multiple systems simultaneously.

  • Working knowledge of Microsoft Office applications, including Outlook, Word, and Excel.

  • Experience reviewing and interpreting documents for accuracy and completeness.

  • Ability to work independently while maintaining consistent productivity and quality standards.

  • Ability to maintain focus and accuracy during repetitive processing tasks.

  • Familiarity with PlanSmart or similar data management systems preferred.

  • Strong understanding of confidentiality standards and secure handling of sensitive personal information.

  • Ability to research issues, make appropriate processing decisions, and escalate exceptions when necessary.

  • Commitment to maintaining a minimum accuracy standard of 99%.

Work Conditions

  • Fast-paced, production-based work environment with high volumes of document review and data entry activities.

  • Performance measured through productivity, quality, accuracy, timeliness, and compliance metrics.

  • Standard operational queues are expected to be processed within established service level agreements, including a three-business-day turnaround for standard queues.

  • CAM Queue determinations must be completed within 30 calendar days.

  • Requires prolonged periods of computer usage, document review, and data entry.

  • Regular handling of highly sensitive participant information, including Social Security Numbers, tax documents, names, addresses, and other personally identifiable information.

  • Strict adherence to data privacy, confidentiality, and security requirements is required at all times.
