Job description

Temporary Administrative Assistant

Roncalli High School is a ninth- through 12th-grade Catholic school located in Manitowoc, Wisconsin. The school, part of Roncalli Catholic Schools, is a learning community that serves the whole child โ€“ mind, body, and spirit โ€“ while fostering academic excellence. Faculty and staff promote the mission of Roncalli Catholic Schools and work toward providing the optimum environment in which students may learn and develop their faith.

This temporary school year position has a variety of responsibilities. We are looking for a detail-oriented person with strong organizational skills. This person must be able to communicate effectively with parents, students, and staff and maintain confidentiality. This position is full time school year, 7:30 a.m. until 3:30 p.m. with a 30 minute unpaid lunch break and includes some evening hours. Ideal candidates should demonstrate commitment to faith, academics, and service while being strong role models. Candidates are expected to promote a positive, charitable spirit and nurture the school environment. Desire to work with students, staff and the public. Prior experience in a school setting is preferred.

Duties/Responsibilities:

  • Reasoning Ability: Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to prioritize and complete work tasks.
  • General: Has knowledge of office equipment, i.e. copies, multi-line phone systems and intercoms. Arranges for technical support, servicing an effective operation of office technology and office machines if requested. Be flexible, adaptable to change and perform all duties related to the general job function as assigned by supervisors. Performs duties in a safe and prudent manner as directed by supervisors. Type at an acceptable rate of speed and performs various clerical functions as needed by supervisors. Attend staff meetings as required. Attend training and professional development as necessary. Demonstrate support for the school system and its vision, goals and objectives. Performs duties in a courteous and professional manner.
  • Reception: Meets, greets, and converses effectively with the general public, staff members, parents, administrators, and other contact persons using tact and good judgment. Effectively and efficiently answer the multi-line phone system. Warmly greet callers and access their need. Transfer calls to appropriate staff members. Work with attendance when a student is to be located. Security and Door monitoring. Use the door system to greet and allow access for students and visitors. Students will arrive at various times of the day. Visitors will be checked in with log and given a pass. Maintain Packages /Postal Service Mailings
  • Main Office: Principal's Secretary. Assist with student needs, prioritize students first. Assist with managing calendars, scheduling meetings and coordinating appointments. Prepare documents, emails, and reports as requested. Field Trip preparation. Health needs. Work with Attendance Secretary to confirm field trip information. Assist with event preparation and set up. Parent/Teacher conferences. 7th & 8th Grade Day. Graduation. End of Year. Holiday Parties. Prepare daily bulletin. Prepare and process mailings, certificates and report cards. Report Cards. New Student Welcome Letters. Summer Mailing. Assist with Attendance. Work with Administrative Assistant/ Data Steward and Attendance Secretary to ensure accurate attendance meetings for all students. Manage and Maintain Health room and provide appropriate support for student needs. Complete accurate logging all health information in the PowerSchool SIS. Contact parents for student health concerns. Manage School Photos. Coordinate picture day, make up day and graduation. Distribute photos to students. Distribute student ID cards. Handle any photo order issues. Manage Substitute materials. Ensure that classes have coverage when a teacher is absent. Ensure the substitute teachers have lesson plans and chrome books. Help to support substitute teachers and their needs. Assistant to President. Assist with managing calendars, scheduling meetings and coordinating appointments. Prepare documents, emails, and reports as requested. Other duties as assigned. Distribute medication as necessary. Uphold the safety procedures of the school. Complete other tasks as deemed appropriate by the immediate supervisor(s) and/or the president
