Job description

Lifesaving & Life-Changing Work

A career at Mid-America Transplant means giving hope and healing to the 100,000+ patients on the transplant waiting list, bringing peace to families in mourning, building a legacy for donors, and stewarding their lifesaving gifts. No matter what role you play or how challenging the work can sometimes be, we find that helping save and celebrate the lives of others often changes your own life in the process. Join the Mid- America Transplant team. It’s the toughest job you’ll ever love.

What We Do

Simply put, we help save lives — and we’re proud to say we’ve been nationally recognized for how well we do it. We conduct and fund game-changing research. We educate the public to prevent medical issues and the need for transplants. We offer grief resources to donor families. Pioneer new facilities and protocols that improve the viability of organ and tissue donations. We provide affordable, temporary housing for transplant patients and their families. Partner with community organizations to drive donor registration. We meet with schools, clergy, and local leaders to share our cause and our message. We stop at nothing because we’re the kind of people who give everything.

The Position

The HRIS Coordinator serves as the primary day-to-day owner of the HR Information System (HRIS), ensuring data accuracy, system optimization, and user enablement across the employee lifecycle. This role configures and maintains HRIS functionality, develops and automates reports and dashboards, acts as a cross trained backup for Payroll and Benefits processing, and coordinates the administration and documentation for employee Leaves of Absence (LOA). The ideal candidate blends technical HRIS skills with strong customer service, attention to detail, and a compliance mindset.

What You’ll Do

System Configuration & Administration (HRIS)

  • Configure, test, and deploy HRIS updates, workflows, business rules, security roles, and data fields to support HR programs (e.g., onboarding, performance, compensation, benefits, scheduling).
  • Create and maintain integrations and data feeds (e.g., payroll, benefits carriers, time/attendance, finance/GL)—partnering with IT and vendors as needed.
  • Maintain HRIS data integrity through validation rules, mass updates, and recurring audits; investigate and resolve data discrepancies.
  • Serve as Tier2 functional support; triage tickets, document resolutions, and escalate complex issues to vendors.

Report Writing & Analytics

  • Design, schedule, and maintain recurring HR/People analytics reports and dashboards (e.g., headcount, turnover, time to fill, compensation, accruals).
  • Ensure reporting accuracy and compliance with confidentiality, HIPAA (as applicable), and internal audit standards.
  • Automate distribution using secure report bursting, folders, and permissions; maintain a data dictionary and report catalog.

Backup to Payroll & Benefits

  • Cross trained backup for end-to-end payroll processing: imports/exports, prepay audits, earnings/deductions, off cycle checks, grosstonet reconciliation, and post pay tasks (GL files, tax filings handoff).
  • Backup for benefits administration: eligibility audits, life event processing, vendor file transmissions, EDI issue resolution, and open enrollment setup/testing.

Coordinator of Records—Leaves of Absence (LOA)

  • Coordinate LOA workflows and records for FMLA, state leaves (where applicable), company leaves, ADA accommodations, and military leave—ensuring adherence to federal/state regulations and internal policies.
  • Manage intake, eligibility verification, designation notices, tracking, and return to work confirmations; maintain secure and complete files.
  • Serve as liaison to employees, and managers; ensure timely communication and confidentiality.

What You’ll Bring

  • 2–4 years of experience in HRIS administration, HR operations, or HR analytics; exposure to payroll and benefits processes.
  • Handson experience in at least one major HRIS (UKG Pro preferred).
  • Proficiency with report writers and Excel (VLOOKUP/XLOOKUP, pivot tables, lookups, formulas); comfort with CSV/flat file data.
  • Working knowledge of FMLA, ADA, HIPAA (as applicable), wage & hour basics, and data privacy principles.
  • Experience with integrations/EDI, carrier files, and SFTP processes.
  • Exposure to ACA reporting, open enrollment configuration, and time/attendance systems.
  • Strong attention to detail, analytical thinking, and customer service orientation; ability to handle confidential information.
  • Excellent communication skills
  • Trustworthy with attention to confidentiality
  • Proficiency in Microsoft Office

What We’ll Bring

  • Health insurance premium option at zero out of pocket for single coverage, eligible on your first day
  • 401(k) Retirement Match - offering up to a 5% match of annual salary starting the 1st day of the month following your start date
  • 401(k) Retirement Plan – offering up to another 9% contribution of your annual salary after one year
  • Paid Life Insurance – four times your salary
  • Paid Long Term Disability
  • Annual incentive plan in addition to annual salary increases
  • Tuition Reimbursement
