Job description

We are seeking an experienced and highly professional Executive Assistant to support the Chief Executive Officer in a dynamic and highly visible public sector environment. This role ensures the smooth operation of the CEO’s daily activities while serving as a trusted representative of the Office of the CEO. The ideal candidate will demonstrate exceptional judgment, strong attention to detail, and the ability to manage complex, sensitive, and confidential matters involving internal leadership, clients and industry partners, board members, and community stakeholders. 
PRIMARY RESPONSIBILITIES

  • Manage and prioritize the CEO’s complex calendar, proactively anticipating needs, resolving scheduling conflicts, and ensuring thorough preparation for meetings, conference calls, public appearances, board engagements, policy briefings, and high-level delegations. 
  • Review incoming correspondence across email, mail, and other communication channels, responding where appropriate and escalating critical matters requiring executive attention. 
  • Serve as the primary point of contact between the CEO and internal and external stakeholders, ensuring that communication is timely, professional, and accurate.
  • Coordinate and execute domestic and international travel arrangements, managing detailed itineraries, travel documentation, and logistics related to official engagements and conferences.
  • Track and manage action items and strategic priorities for the CEO, following up with department leaders to ensure timely completion.
  •  Handle highly confidential personnel, legal, and policy information with the utmost discretion and adherence to compliance requirements.
  • Plan and coordinate meetings and events, including developing agendas, preparing materials, facility arrangements, capturing meeting notes, and distributing follow-up actions. 
  • Manage expense reports, invoices, and approvals for timely processing.
  • Support implementation of strategic projects and performance metrics by providing administrative coordination and research as needed.

COMPETENCIES & REQUIREMENTS

  • Bachelor’s degree in public administration, business, communications, or a related field of study; or an equivalent combination of education and experience.
  • Minimum of ten (10) years of progressively responsible senior executive support, preferably in government, public agency, or executive setting.
  • Demonstrated ability to maintain confidentiality, handle sensitive information, and exercise sound independent judgment.
  • Exceptional verbal, written and interpersonal communication skills; highly collaborative team approach to work. 
  • Strong organizational and analytical abilities, with the capacity to manage multiple high-priority assignments simultaneously.
  • Proven ability to communicate, influence, establish trust, and demonstrate results with multiple stakeholder groups.
  •  Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms.
  • Professional presence, initiative, and adaptability in a fast-paced, public-facing environment.
  • This position may require flexible availability outside standard business hours to support executive meetings, board sessions, and external events.

HIGHLY PREFERRED SKILLS, ABILITIES & QUALIFICATIONS:

  • Experience with Salesforce CRM.
  • High tolerance for ambiguity; able to effectively cope with change, can shift gears comfortably, can decide and act without having the total picture, comfortably handles risk and uncertainty.
  • Ability to gain credibility and establish relationships to influence and generate results.
  • Successful record of managing multiple projects with demonstrated ability to work independently in rapidly changing environments.
