Job Title: Dispatch CoordinatorJob Description
We are seeking a dedicated Dispatch Coordinator to join our dynamic team. The ideal candidate will play a crucial role in assisting management with client inquiries and ensuring the smooth execution of work orders. This position requires a proactive individual who can manage multiple tasks, support service providers, and utilize technology platforms to enhance service delivery.
Responsibilities
  • Assist the manager in addressing client inquiries and concerns, ensuring timely and quality issue resolution and service delivery.
  • Follow up with contractors to ensure timely execution and closeout of work orders as directed by the manager.
  • Utilize manager-provided reporting to identify and escalate open work orders that fall outside of customer SLAs, including Tech to Site compliance, Budget, IVR usage, and process compliance.
  • Follow up on completed work orders with contractors to ensure timely delivery of invoices and backup documentation needed to comply with the client's contract.
  • Audit final contractor invoice pricing based on manager and client approval criteria to ensure compliance with contracted rates and markups.
  • Assist the manager in monitoring and assessing contractor performance.
  • Utilize technology platforms to document facilities management activities.
  • Oversee new provider setup, including data entry, training, and document collection.
  • Maintain accurate provider network data and monitor compliance by managing critical documents.
  • Prepare and deliver communications regarding system changes, enhancements, and policy updates.
  • Address provider inquiries and resolve issues related to performance, billing, payments, and technology.
  • Support Service Provider Managers with reporting, administrative, clerical, and technical tasks.
  • Manage help desk operations, shared inboxes, and provider portal functionality.
  • Collect and analyze data to evaluate network coverage and provider performance.
Essential Skills
  • High School Diploma or GED.
  • 1-3+ years of experience in dispatching, coordination, or customer service.
  • Strong organizational and multitasking skills.
  • Excellent communication and customer service skills.
  • Proficiency in Microsoft Office (Excel, Outlook, Word).
Additional Skills & Qualifications
  • Experience in facilities maintenance, construction, or service-based industries is preferred.
  • Knowledge of HVAC, refrigeration, electrical, or plumbing systems is a plus.
  • Familiarity with dispatching or work order management systems is beneficial.
  • Proficiency in Office 365, SharePoint, and CRM databases is advantageous.
Work Environment
