Job description

Job Summary

The specialist will partner with the various cross departmental teams to develop the IAPP booth experience for target audiences, with the focus to achieve IAPP's strategic goals. They will handle booth design recommendations, budget and expenses, onsite management, lead management, booth inventory/shipping, and exhibit support. The specialist will serve as a key contributor to advancing the company’s trade show program through innovation, efficiency, and analytics.

Essential Duties and Responsibilities 

  • Provide booth design recommendations, including booth conceptualization, attendee flow predictions, branding, signage, and interactive elements. This will be to ensure consistency with IAPP brand and exceptional attendee experience
  • Oversee the production and delivery of the marketing booth structure, merchandise and collateral material, in a timely manner for all internal and external events. Partner with crossfunctional internal and external teams (marketing, events, sales, events and external vendors) to plan and execute the IAPP booth experience aligned with organizational goals
  • Identify opportunities to innovate and optimize trade show operations for greater efficiency, cost effectiveness, and attendee impact.
  • Manage booth-related contracts and budgets. This would be including contract negotiating, forecasting, expense tracking, invoicing, and postevent reconciliation.
  • Oversee the training and act as point person for onsite staff to support the booth setup, troubleshooting issues, coordinating vendors, and ensuring a seamless attendee experience.
  • Maintain detailed documentation of booth assets, processes, vendors, and best practices to ensure program continuity and scalability.
  • Manage/assess inventory of promotional items, collateral, and supplies for booth.
  • Create, maintain and analyze metric reports and documentation while examining booth activities, effectiveness, and business impact.
  • Create, maintain and project manage IAPP booth schedules.
  • Actively identify inefficiencies in marketing workflow and develop processes and best practices to solve them, thus, maximize marketing performance. Attend internal and external events to represent IAPP as assigned.
  • Maintain proficiency in and optimize technologies and programs used by marketing team.

  • Must be able to travel internationally on occasion.

Education and/or Experience

  • Bachelor’s degree (B.A./B.S.); and up to two years related experience and/or training; or equivalent combination of education and experience
  • Experience using project management software
  • Knowledge of creative development process
  • Strong interpersonal and communication skills
  • Prior experience with SmartSheet is a plus
  • High level of professionalism; a proactive, collaborative, self-starting team player who looks for ways to improve processes
  • Ability to adapt to changing business landscape
  • Proficiency in Microsoft Office Suite
