Job Description

The dispatcher supports a busy HVAC team by coordinating calls, managing schedules, and ensuring clear communication between commercial and residential customers, technicians, and drivers. This role focuses on tracking commercial orders and project updates, routing consumer calls to technicians, and assisting with order entry during slower periods. The dispatcher plays a key role in delivering responsive, friendly service in a fast-paced, team-oriented environment.

Responsibilities

  • Handle inbound calls from commercial clients to track orders, provide project updates, and answer status-related questions.
  • Manage inbound calls from residential customers, including inquiries about appointments and service issues.
  • Route consumer calls to HVAC technicians and ensure technicians receive accurate information about customer needs.
  • Place outbound calls to drivers to confirm their daily schedules and verify their ability to meet commitments communicated to customers.
  • Coordinate schedules between drivers, technicians, and customers to maintain on-time appointments and efficient routes.
  • Support the order entry team by entering and updating orders accurately when call volume is lower.
  • Maintain detailed and accurate records of calls, schedules, and service commitments in the appropriate systems.
  • Provide friendly, professional, and timely customer service in a fast-paced environment.
  • Collaborate closely with a team of dispatchers and office staff to ensure smooth daily operations.

You will work in an office environment alongside a team of about nine people, including five dispatchers and additional office staff who support daily operations. The organization builds relationships not only with employees but also with their families, and there is a track record of internal promotion from the dispatcher role into positions such as estimator and operations manager. Pay and Benefits

The pay range for this position is $22.00 - $26.00/hr.
