JOB PURPOSE
The Data and Systems Coordinator is responsible for supporting accurate and timely data movement, entry, validation, and system setup activities across the organization. This role partners with cross-functional teams to download data from internal and external sources, prepare and format files for use, enter and maintain data within designated systems, and support the implementation of new systems and process changes. The Coordinator ensures data integrity through quality checks, documentation, and audit-ready recordkeeping, and provides responsive support to locations and stakeholders to ensure procedures are followed consistently. This position requires strong attention to detail, a customer-service mindset, and ethical behavior as a steward of confidential and sensitive information.
KEY ACCOUNTABILITIES
  • Download, compile, and distribute routine and ad-hoc data extracts from approved systems/sources; confirm requirements, filters, and file formats with stakeholders - 30%
  • Perform high-volume and/or complex data entry, updates, and corrections in designated systems; ensure completeness and accuracy through verification and standard work - 30%
  • Maintain data integrity by reconciling records, identifying discrepancies, and coordinating resolution; document issues, root causes, and corrective actions - 15%
  • Support systems implementation activities, including user access setup, master data loads, testing, cutover checklists, training materials, and change communications as assigned - 15%
  • Generate and maintain recurring reports, trackers, and dashboards (spreadsheets/graphs) to support operational needs; maintain documentation and version control - 10%

KEY PERFORMANCE INDICATORS
  • Meet expected deadlines for expected data downloads and stakeholder requests; communicate status and exceptions proactively.
  • Maintain high data accuracy through validation, spot checks, and reconciliation; correct errors and document resolution steps.
  • Maintain complete, audit-ready records (source files, extracts, load logs, and approvals) in accordance with established procedures.
  • Support system implementation milestones (testing, data loads, cutover tasks) on time; track risks/issues and escalate appropriately.
  • Provide clear, timely reporting (status, metrics, and exceptions) to leadership and stakeholders; use trends to recommend process improvements.
  • Minimal to no preventable errors during the review period; corrective actions completed promptly when issues are identified.

8:30 am - 5:30 pm

Required Qualifications
  • High School Diploma, Associate's or Bachelor's Degree in Business, Information Systems, Data Analytics, or equivalent; combination of relevant work experience and education will be considered
  • Advanced experience with Microsoft Office (Excel, Outlook, Word, PowerPoint), including formulas, pivots, and data formatting.
  • Experience performing accurate data entry, data maintenance, and record updates in EHS/HRIS or similar business systems
  • Experience downloading/exporting data from systems and portals; ability to troubleshoot common data/formatting issues (CSV/Excel)
  • Experience with reporting/ad-hoc reporting and creating tables, charts, and dashboards to present data clearly
  • Experience creating job aids, SOPs, and training materials; ability to communicate process changes to users
  • Ability to manage changing deadlines and multiple priorities; strong follow-through and stakeholder communication
  • Experience maintaining logs/trackers, coordinating requests across multiple sites/teams, and ensuring standardized processes are followed
  • Reconciliation/auditing experience with a focus on data quality, root cause identification, and corrective actions
  • Experience supporting system implementations or enhancements (requirements gathering support, testing, data loads, and go-live support) preferred
  • Experience working with system access provisioning, and user support preferred
  • Experience handling confidential data and following data governance/privacy expectations preferred

CERTIFICATIONS
  • Relevant certifications preferred (e.g., Microsoft Office/Excel, data analytics, or entry-level project coordination)

Employment Type - Hourly, $26.13 - $38.55
Compensation - The expected hiring range for this position is $54,363.95 - 80,186.82, depending on experience and qualifications.
