Job description

Overview

Join our team as a Billing & Administrative Specialist, where you'll play a vital role in managing the billing for the firm and ensuring the accuracy of financial records, specifically managing Trust registers in Excel and QuickBooks. You will be responsible for handling billing processes, data entry, and various administrative functions. You will also be responsible for overseeing the firm's technology and computer equipment working alongside our IT vendor. Responsibilities

  • Manage accounts receivable processes using billing software.
  • Responsible for Trust distributions and monthly account reconciliation.
  • Handle collections account management by following up on overdue invoices and maintaining positive client relationships through professional communication.
  • Perform data entry with precision and maintain accurate financial records.
  • Assist with client communication regarding billing inquiries, payment processing, and account status updates via phone or email with excellent phone etiquette.
  • Work with our IT vendor to resolve system issues, maintain office equipment/computers, and upgrade implementations.

Qualifications

  • Familiarity with accounting software including QuickBooks, or similar systems; experience with billing software or Action Step/Soluno is highly desirable.
  • Strong proficiency in Microsoft 365.
  • Experience managing collections accounts and performing account reconciliation tasks accurately.
  • Excellent organizational skills with attention to detail in data entry and account analysis.
  • Exceptional customer service skills combined with professional phone etiquette for effective client communication.
  • Ability to handle multiple priorities efficiently while maintaining accuracy in a fast-paced environment.
