About the Role


We're looking for a reliable, detail-oriented Customer Service & Office Associate to be a friendly face and steady hands for our business office. This person will handle day-to-day customer interactions at checkout and on the phone, while also keeping our bookkeeping and cash handling accurate and organized. It's a great fit for someone who enjoys variety, doesn't mind wearing multiple hats, and takes pride in getting the small details right.


Key Responsibilities


Customer Service & Checkout

Greet and assist customers at checkout, processing sales transactions accurately and efficiently

Answer incoming phone calls, respond to customer questions, and route calls or take messages as needed

Resolve basic customer concerns or escalate issues appropriately

Maintain a clean, organized, and welcoming checkout/front area

Accounts Receivable

Generate and send customer invoices

Track outstanding balances and follow up on overdue payments

Post and apply customer payments accurately in the accounting system

Maintain accurate customer account records

Accounts Payable

Enter and code vendor bills for payment

Prepare and process payments to vendors (checks, ACH, etc.)

Match invoices to purchase orders/receipts and resolve discrepancies

Maintain organized records of paid and pending bills

Cash Handling & Reconciliation

Count and reconcile the cash drawer at the start and end of each shift

Prepare daily deposits and maintain accurate cash logs

Investigate and report any discrepancies promptly

General Office & Other Duties

Assist with basic filing, data entry, and record-keeping

Order and track office/store supplies as needed

Support the owner/manager with ad hoc administrative tasks

Help with light inventory tracking or receiving, if applicable

Take on other duties as they arise in a small business environment — flexibility is key

Qualifications


High school diploma or equivalent required; additional coursework in accounting/bookkeeping a plus

1+ years of experience in customer service, retail, or office administration (bookkeeping experience preferred)

Basic proficiency with accounting software (e.g., QuickBooks) and Microsoft Office/Google Workspace

Comfortable handling cash and processing payments accurately

Strong verbal communication and phone etiquette

High attention to detail and strong organizational skills

Ability to multitask and prioritize in a fast-paced, small-team environment
