Job Title: Project/Sales Administrative Assistant
Department: IT
Reports To: Account/Project Management
General Summary:
Brick Technology Group (BTG) is a fully managed IT, cybersecurity, and VoIP service provider dedicated to helping our clients build secure, reliable, and scalable technology environments. BTG is seeking candidate(s) who will assist the client Project Management Department with clerical and administrative operations. The ideal candidate is detail-oriented, communicates clearly, provides exceptional customer service, and completes work to resolution. At BTG, our team values professionalism, collaboration, communication, and continuous improvement.
Essential Functions:

  • Assistant to the Project Manager for administrative duties, including client communication,
  • organization, documentation, and follow-up for clients, including Quarterly Business Review meetings.
  • Work directly with the Owner, Operations Manager, Account Manager, Project Manager, and clients to determine hardware and software needs.
  • Assist the Project Manager and Operations Manager in matching client hardware and software with the scope of work development for new and ongoing projects.
  • Work with both hardware and software vendors, as well as internal Systems Engineer (L2), to be knowledgeable with the best equipment and software recommendations to fulfill client needs.
  • Assist with the coordination of the purchasing lifecycle from quoting to approval for client technology needs.
  • Work with the accounting department and clients to ensure hardware is paid for before deployment.
  • Work with the Systems Engineer (L2) to ensure hardware is configured and ready to be deployed.
  • Assist the Project Manager in coordinating with the Service Team for actual hardware and software deployment.
  • Coordinate communication with clients to track the hardware and software deployment process through completion.
  • Maintain accurate documentation of client quoting, inventory, and workflows in the PSA (Professional Services Automation) system.
  • Assist with BTG inventory management process and documentation.
  • Other responsibilities may be assigned based on organizational growth.

Physical Requirements
  • Ability to sit for extended periods up to 6 to 8 hours a day.
