Job description

Position Title
Sr Creative Services Liaison
Broadmoor Campus
Position Summary / Career Interest:
The Senior Creative Services Liaison is responsible for the management of communications projects and initiatives in a wide variety of mediums from conception to execution, production and distribution, providing guidance to members of the communications teams as well as clients on meeting strategic marketing and communications goals for the health system within brand, budget and time constraints. The position acts as media planner for the health system and serves a prominent role in the creation, assessment and implementation of department processes. This position also manages the content of the health system's brand management portal, approves or provides direction for all projects created in the portal and is responsible for the training and on-going education of all portal users across the health system
Responsibilities and Essential Job Functions
  • Responsible for the ongoing project management and workflow, through Marketing and Corporate Communications, internal clients, outside producers and distribution.
  • Manages development and execution of a wide range of materials for external and internal audiences.
  • Performs intake, assessment and triage of communications projects and system-wide initiatives: meets and consults with clients, assesses communications needs, ensures project prerequisites, requirements and criteria are identified, documented and established in order for a project to move forward.
  • Maintains ongoing communications with clients about project progress or changes, managing relationships and expectations during the planning, development and execution of communications projects. Take informed, appropriate action to move ahead or change project direction based on client feedback.
  • Assigns projects to appropriate writers and designers, both internal and freelance, determining and setting priorities and establishing timelines based on project requirements, budget and current team workload.
  • Responsible for assessing project progress, troubleshooting delays and obstacles, implementing mediating actions and ensuring expectations for project deliverables are met.
  • Heads production meetings and serves as a resource, making recommendations and providing guidance to writers, designers and other producers.
  • Serves as liaison and manages relationships with printers, freelance writers, designers, photographers and other agencies (e.g., mail houses and promotional item vendors). Determines when and which appropriate outside resources are needed to meet project requirements and staff bandwidth.
  • Manages RFQ process with vendors, evaluating estimates and selecting appropriate vendor for each project based on individual project requirements, timeline and budget.
  • Evaluates projects for quality and accuracy before production and conducts press checks as required, making recommendations for improving overall effectiveness in production, design, specifications and methods.
  • Serves as media planner for the health system, working closely with leadership, strategic marketing and creative team members, our agency of record, local publications and vendors to make recommendations on advertising content and placement in print and electronic mediums based on budget and strategic priorities.
  • Manages the health system brand management portal.
  • Creates and maintains content using the content management system.
  • Manages the workflow of all projects created in the portal, approving or providing direction for each project.
  • Trains and provides ongoing education to all brand management portal users, championing the health system brand and providing on-brand recommendations to communications teams and staff
  • Develops, implements and maintains department processes and project tracking systems to streamline workflow and improve efficiency.
  • Drives issue resolution
  • Collaborates with all levels of leadership and staff to meet organizational goals.
  • Manages all aspects of the department proofing process. Interviews, hires and trains freelance proofreaders and provides input and recommendations along with team members on the health system's writing style guide and brand standards.
  • Responsible for writing assignments and project work as assigned.
  • Analyzes project timeline, budget and workload data to report on department productivity, and expenses, creating weekly, monthly, annual and ad hoc department reports as needed.
  • Manages fulfillment of all printed marketing materials, distributing materials throughout health system and partner locations.
  • Audits online and physical fulfillment areas regularly to ensure the most updated materials are in use.
  • Provides guidance on what materials are best for use at events, conferences and wellness events.
  • Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department.

Required Education and Experience
  • High School Graduate
  • Bachelors Degree in related field of study from an accredited college or university - preferrably in Communications.
  • 3 or more years of broad business experience including 1 year minimum of financial budgeting experience including accounting procedures and software.
  • 1 or more years of project management experience.
  • 1 or more years of experience with printing and online production processes and with content management systems.

Preferred Education and Experience
  • Experience in print production, advertising, communications, or marketing.
  • Experience in hospital or health care delivery system.
