IT Infrastructure Project Manager - part-time/28 hrs per week
BYU Office of Information Technology is seeking an experienced Project Manager to oversee IT Infrastructure projects. Projects can include everything from equipment replacements to large construction, from standard service requests to new architecture. Many projects are in support of facilities-initiated work efforts like remodels and new construction. Reading construction plans is essential and visiting job sites is required. This position will be responsible for every aspect of their assigned projects through planning, execution and close-out.
Key responsibilities include coordinating and communicating with stakeholders, organizing and leading cross-functional teams (engineers, installers, and documentation specialists), and ensuring the work is completed on schedule and within budget. This position requires excellent communication skills, understanding of network infrastructure, and the ability to coordinate and communicate with individuals with varying degrees of IT knowledge.
This role also involves mentoring a team of student employees, helping them develop skills in project management and technical areas. Directing, teaching/training, and mentoring students is a daily activity. This position may focus on projects on one or more of the CES Higher Education campuses including BYU, BYUI, BYUH and Ensign College. Participation on remote campus projects may require occasional travel.
What you'll do in this position:
1. Planning/Documentation
  • Consult with customers and campus users to assess needs, gather project requirements, and ensure the business needs are accurately represented, while recommending solutions that meet both customer needs and university interests.
  • Manage project goals by identifying and coordinating projects with stakeholders and project teams.
  • Identify and implement appropriate communication plan based on project participants.
  • Work with installers, engineers, service managers, and stakeholders to assess any changes in project scope or technology, documenting the impact on budget, scope, and schedule.
  • Create and update system drawings and technical specifications for projects.
  • Prepare cost estimates, review financial reports, and manage project budgets for accuracy.

2. Project Team Management
  • Assemble, organize, and lead team and/or stakeholder meetings to ensure smooth execution.
  • Coordinate team reviews at key project milestones and facilitate communication within the team.
  • Continuously evaluate team performance, providing feedback and optimizing task efficiency.
  • Work with project team to develop project plan for more complex projects or longer duration efforts.

3. Project Execution
  • Create IT work orders for project teams.
  • Manage more complex projects through tasks/milestones using work order system parent-child relationships.
  • Facilitate and/or attend regular kick-off, coordination, and close-out meetings with BYU Physical Facilities, shops, architects, engineers, contractors, and customers.
  • Develop and manage project schedules using project scheduling tools, incorporating feedback from service management, contractors, and resource teams.
  • Oversee dependencies, manage risks, and resolve escalated issues to keep projects on track.
  • Peer review other PMs work orders and documentation.
  • Distribute project schedules, track progress, and provide status reports to key stakeholders.
  • Prioritize major tasks and cross-project priorities, working proactively with management to resolve conflicts or competing priorities.
  • Help improve project management by identifying process improvements and then work with your supervisor to review and implement.
  • Help improve project management through innovation by identifying new processes, tools, and strategies to enhance effectiveness and efficiency.
