ABOUT APOLLO RESEARCH
Apollo Research is a mission-driven startup committed to reducing the threats from scheming frontier AI systems. We do fundamental research on the science of scheming, provide advice on the institutional implications of loss of control threats, and build monitoring tools for AI agents. We work with and are trusted by frontier AI labs including OpenAI, Anthropic, Google DeepMind, and more.
THE ROLE
We're looking for a part-time Office Manager to manage our San Francisco office and build out Apollo's Bay Area presence. This is a great fit for someone who takes pride in well-run spaces, enjoys variety, and wants to grow an operations career in a place where the work genuinely matters. This role starts part-time, about 10-20 hours a week. As we double in size over the next 12 months and you show your strengths, your responsibilities could increase, with a clear path to a full-time position.
KEY RESPONSIBILITIES
Office Operations
  • Respond to and resolve requests, from day-to-day queries, to maintenance and repair issues
  • Manage office access for visitors and contractors
  • Lead office improvement projects, from furniture and layout changes to equipment upgrades, to support employee productivity
  • Coordinate employee onboarding and offboarding for office-based and US-based remote staff, including workspace setup, issuing keys and shipping equipment
  • Procure office supplies and equipment, handle deliveries

Vendor & Relationship Management
  • Serve as the first point of contact with property owners, external contractors and vendors

Ad-hoc projects
  • Assist with the setup and logistics of networking and publicity events, workshops, and industry socials

REQUIREMENTS
  • Previous experience in office management, operations, or a similar hands-on coordination role
  • You work well in a fast paced, high velocity environment that orients on execution speed and efficiency.
  • Organized, reliable and effective: you're able to keep track of many tasks and projects at once, and execute on your commitments
  • Autonomous and proactive: you're able to manage projects independently, take initiative to fix problems without being asked, and make decisions under uncertainty
  • The ability to communicate and coordinate with HQ in London who will have an 8 hour time difference.
  • Strong communication: you represent Apollo well with vendors, are able to summarize a situation accurately, and explain your reasoning clearly
  • Mission-driven: a genuine interest in AI safety and excited to enable the team's work in reducing risks from scheming AI
STRONG CANDIDATES MAY ALSO HAVE:
  • Experience managing a growing office space in fast-paced environments, ex:high-performing tech startups
  • Project management and events planning experience.
  • Experience working across multiple countries and cultures
  • Familiarity with and connections in the Bay Area AI safety and tech community
