Job Title: Field Operations & Project Administration Lead
Role Overview
We are seeking an organized and resourceful Field Operations & Project Administration Lead to join our onsite project team. You will serve as the primary operational support for the Site Superintendent and the field staff, ensuring that the project's "administrative heartbeat"-workforce onboarding, time tracking, payroll, and compliance-is beating smoothly.
This is a fast-paced role for a professional who thrives in a construction environment. You will be the point person for all incoming personnel, managing the full lifecycle of the field workforce while ensuring that our site reporting is accurate, timely, and compliant. If you are a natural problem-solver who can navigate the unique challenges of a job site and keep a team of field professionals organized, this is the perfect role for you.
Key Responsibilities
Workforce Management & Onboarding
• Onboarding Lifecycle: Facilitate the end-to-end onboarding of new field personnel. Manage I-9 compliance, site orientation, security badging, and ensure every new hire is set up for success from their first hour on site.
• Attendance & Dispatch: Conduct daily workforce roll calls and track resource presence. Coordinate personnel movements, including new dispatches and off-boarding procedures.
• Systems Administration: Provide frontline support to field staff using mobile devices and tablets, ensuring they have access to the necessary digital tools to perform their work.
Payroll & Reporting
• Payroll Processing: Manage weekly timecard submissions for field staff. Review and audit entries for accuracy to prevent payroll discrepancies, while proactively handling per diem, incentives, and necessary corrections.
• Operational Reporting: Consolidate and distribute daily project reports to key stakeholders. Maintain rigorous site records, training logs, and safety documentation.
Site Logistics & Support
• General Site Admin: Act as the "go-to" for the project office. Manage supply procurement, IT hardware requests for field staff, and ensure site documentation is filed and maintained to high standards.
• Compliance: Monitor safety training records, maintain up-to-date site certifications, and ensure that all administrative workflows align with project-wide compliance goals.
Qualifications & Requirements
Minimum Qualifications
• Experience Baseline: Minimum of three (3) years of experience in an administrative or operational role, preferably within a construction or heavy-industrial setting.
• Workforce Logistics: Proven experience with payroll management, timecard submission, and high-volume workforce onboarding (I-9/compliance).
• Technical Literacy: Advanced proficiency in Microsoft Office (Excel, Outlook). Ability to quickly learn new project management and workforce-tracking software.
• Communication: Exceptional organizational and interpersonal skills-you must be comfortable interacting with everyone from field laborers to project leadership.
Preferred Attributes
• Education: High School Diploma/GED required; college degree in Business, Construction Management, or related field is a plus.
