WorkSmart Systems, a leading Professional Employer Organization (PEO), is growing!

As an Accounting Specialist (Payroll Tax Accountant), you will be a part of a team who manage and oversee payroll tax processes for our clients and co-employees. We ensure accurate and timely filing, reporting, and payment of payroll taxes in 47 states and process W-2s for over 18,000 co-employees.

Responsibilities:

  • Manage and maintain accurate employee payroll tax information and records for multiple states.
  • New client tax setup (registration & account closure for State Unemployment & Withholding taxes; setup in PrismHR software).
  • Calculate, review, and prepare payroll tax returns for state jurisdictions, including unemployment taxes, disability taxes, and other tax-related payments.
  • Assist in reconciling monthly, quarterly, and year-end tax information and processing W-2s.
  • Effectively communicate with state tax agencies to solve problems, clarify complex tax requirements, and resolve tax-related discrepancies or issues.
  • Keep updated on changes in state tax laws, regulations, and filing requirements, and implement necessary changes to ensure compliance.
  • Conduct regular audits of payroll data to identify and rectify any errors or discrepancies.
  • Respond promptly and efficiently to inquiries and requests from internal and external stakeholders, such as HR, Accounting, and Payroll departments, along with clients and employees, regarding state payroll taxes.
  • Maintain a high level of data confidentiality while handling sensitive information related to employee payroll taxes.
  • Assist with any special projects, reconciliations, or other payroll-related tasks as required.

Requirements:

  • High School Diploma. Bachelor's degree in Accounting or a related field is preferred.
  • Proven experience working with payroll taxes, with a deep understanding of state-specific payroll tax laws and regulations.
  • Excellent knowledge of payroll systems, software, and reporting tools.
  • Strong analytical, mathematical, and problem-solving skills.
  • Proficiency in using Microsoft Excel and other relevant software.
  • Ability to handle tasks with accuracy, attention to detail, and within strict deadlines.
  • Excellent communication skills, both oral and written, to effectively interact with internal and external stakeholders.
  • Strong organizational and time management abilities to prioritize multiple tasks and meet deadlines.
  • A high level of integrity, reliability, and confidentiality.
  • Experience with multi-state payroll processing and tax filings is highly desired.
