Overview
We are seeking a professional and organized Front Desk Receptionist and Administrative Assistant to join our dynamic team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will be proficient in office management, possess excellent communication skills, and be comfortable handling multi-line phone systems and various clerical tasks. Bilingual abilities are a plus, as well as experience with excel , bookkeeping, and personal assistant responsibilities. This position offers an engaging work environment where organizational skills and attention to detail are highly valued.

Duties

  • Greet visitors and clients with professionalism and courtesy at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule online payments for clients
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite, Google Workspace, QuickBooks, and other office software for administrative tasks
  • Assist with office management duties including supply inventory, mail handling, and record keeping
  • Provide customer support through excellent phone etiquette and personalized assistance
  • Support bookkeeping activities such as invoicing or basic bookkeeping using QuickBooks
  • Maintain a clean and welcoming reception area while adhering to confidentiality standards
  • Perform clerical duties including typing, proofreading, and managing correspondence

Experience

  • Previous office experience in administrative or clerical roles preferred
  • Familiarity with front desk operations, multi-line phone systems, and office management tools
