Job description

Position OverviewThe Talent Acquisition Coordinator will manage the scheduling activities within the Talent Acquisition department, primarily supporting corporate, supply chain, field and distribution center candidates, and will oversee the administrative components of the hiring process. You should be a highly organized and detail-oriented professional with a strong ability to manage both in-person and virtual complex executive schedules while maintaining confidentiality and efficiency. You must excel in fast-paced environments, demonstrating excellent communication skills and a proactive approach to problem-solving in support of talent acquisition efforts.A Day in the Life
  • Coordinate and manage complex scheduling for interviews, meetings and other appointments with internal and external stakeholders.
  • Schedule and confirm interviews for candidates at various stages of the recruitment process, ensuring alignment with the availability of interviewers and leaders, while maintaining excellent candidate care and experience
  • Arrange travel and accommodations for candidates as needed, ensuring all logistics are handled efficiently and tracked for budget purposes.
  • Arrange assessments for candidates as needed, ensuring details are communicated to the recruiting team, follow-up calls are scheduled quickly, and details are tracked for budget purposes
  • Manage central inbox(es) along with fellow coordinators as a primary point of contact for recruiters, candidates, administrative assistants, and hiring managers regarding scheduling and interview logistics, providing timely updates and resolving any scheduling conflicts
  • Assist and help coordinate, along with the internal partners, the new hire orientation process and weekly I9 verification for all new hires.
  • Maintain accurate records of interview schedules, candidate interactions, and feedback within the applicant tracking system (ATS) and other relevant databases.
  • Assist in developing and refining scheduling processes to enhance efficiency and improve candidate experience
  • Prioritize and manage multiple tasks and projects simultaneously, ensuring deadlines are met and scheduling conflicts are minimized.
  • Work closely with the Talent Acquisition team and other departments to ensure seamless coordination of executive schedules and recruitment activities
  • Assist with collection and coordination of distribution of metrics, analytics, and reporting
  • Positively demonstrate the company's Core Values by developing trust and respect among peers and management and working collaboratively across various teams while delivering effective results and meet tight deadlines and targets
You'll Come With
  • Associate's or bachelor's degree in Human Resources, Office Management, or Business Management is preferred
  • 2 - 5 years of administrative experience or experience providing coordinator-level support to multiple managers or business units
    • Talent acquisition or human resources experience in the Retail industry preferred
    • Prior experience supporting executive-level preferred
  • A high level of integrity and the demonstrated ability to handle sensitive and confidential information in a professional manner
  • Must have superior communication skills, both written and verbal
  • Strong interpersonal/people skills; ability to establish and build partnerships with all levels of management and business partners.
  • Exceptional time management, prioritization, organizational, and follow-up skills with strong attention to detail
  • Strong problem-solving skills: must be proactive, take initiative and can work independently.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
