Position Overview

The Illinois Department of Transportation is seeking to hire an Office Associate. The successful candidate will under direction of the Executive Secretary, performs varied, difficult and complex typing involving technical and legal terminology for the Region 2 Claims Manager. Provides secretarial support involving confidential correspondence, memoranda, reports, briefs and performs varied clerical services.

Essential Functions
  • Gathers information necessary to research and analyze data required by technical staff.
  • Establishes and revises report formats, which are referred to external agencies for collection and letters pertaining to Court of Claims lapsed appropriation cases.
  • Provides support services to the Region 2 Claims Manager including transcription of recorded dictation and typing of various confidential correspondences, memoranda, reports from hard copy.
  • Utilizes the Risk Management System (RMS) to file, update, edit, close property, general, and automobile case records, and provides reports to the Regional Claims Manager.
  • Utilizes Transunion or other credit reporting systems to retrieve personal credit data on debtors.
  • Performs other duties as required or assigned that are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
  • Requires knowledge, skill and mental development equivalent to completion of high school and two years of office experience.
  • Ability to keyboard accurately at 45 wpm.
Preferred Qualifications
  • Prefers ability to follow oral and written instructions.
  • Prefers extensive knowledge of composition, grammar, spelling. and punctuation.
  • Prefers extensive knowledge of office practices, procedures, and programs.
