About the Surgery Scheduler Role:

The Surgery Scheduler manages all aspects of coordinating orthopedic surgical procedures, including securing operating room time, preparing patients with pre‑operative instructions, communicating with surgeons and hospitals, and ensuring all medical clearances and documentation are completed. They serve as the primary point of contact for patients throughout the surgical process, helping create an organized, efficient, and supportive experience.

Responsibilities:

  • Pre-register the patient's prior to surgery.
  • Schedule surgeries in surgery template in the computer, along with pertinent information.
  • Correctly enter all information into computer system.
  • Verify insurance information and patient's deductibles and co-payments.
  • Handles calls from physician's office regarding information on scheduling patients at the surgery center, scheduling surgeries or any calls associated with surgery scheduled.
  • Answers phone in a pleasant manner and deals with physician offices and patients' needs expeditiously.
  • Takes messages and records in message book.
  • Transfers calls to other departments.
  • Does pre-registration and makes sure that authorization is obtained prior to surgery scheduled.
  • Makes sure patient signs all necessary forms.
  • Completes necessary paperwork for registration and uses computer system to generate information for surgical/special procedure.
  • Assist in set-up of surgery center chart and files appropriate paperwork needed in chart.

  • Maintains various logs of daily activities including cancelled appointments, add-ons, for monthly tallies needed.
  • Assists in maintaining office supplies and necessary forms and informs Office Manager when supplies are needed.
  • Performs various clerical duties such as photocopying forms, reports, patient information, mailing surveys, preparing patient charts, faxing forms, and retrieving faxes.
  • Filing of received faxes in appropriate areas, filing reports in patient's charts.
  • Maintains clean and orderly surgery scheduling area.
  • Performs other related duties as assigned.

Requirements:

  • High school diploma or GED required.
  • Minimum 3 years' experience in health care and minimum of one year experience in surgery scheduling procedures preferred.
  • 1 year of pain management authorization experience preferred
  • Proven ability to work independently as well as function within a team.
  • Basic knowledge of surgery scheduling, receptionist and registration responsibilities.
