Description
The Surgery Scheduler assists all Houston Metro Urology patients as they seek treatment at our Practice, whether as a new patient, returning patient or a patient being scheduled for surgery and/or a procedure. This must be done with the utmost care and accuracy when populating the physician's schedule, coordinating with facilities, and ensuring that the patient is fully prepared for the procedure or surgery.
Essential Functions of the Role

  • Schedule, coordinates and reschedules accurately and timely all procedures and surgeries as ordered by physicians within 7 business days.
  • Coordinates medical and cardiac clearances, labs, and ancillary testing, if required.
  • Verify insurance benefits on all procedure and surgery patients, which includes calculating patient responsibility.
  • Obtains surgical and ancillary service pre-certification/prior authorization from insurance companies.
  • Provides procedure and surgery information, pre-op instructions and financial counseling to patients.
  • Obtains payment for patient co-pays, deductibles and/or co-insurances.
  • Documents information in patient medical record for tracking purposes.
  • Review procedure and surgery schedules two days prior to the scheduled procedure or surgery day, check for errors in scheduling, confirm patient instructions given, ensure payment of patient responsibilities.
  • Ensure patients have clearance letters, completed tests, labs and/or imaging results are received and scanned to medical record prior to the procedure or surgery.
  • Ensures that updates, cancellations, or add-ons are properly entered and completed.
  • Communicates as needed with physicians and other staff about any patient concerns/issues related to procedure or surgery scheduling.
  • Answers and returns phone calls promptly within 24 hours to patients, insurance companies, pre-admission testing, surgical scheduling, and physicians.
  • Provides the highest level of customer service dealing with patients in a prompt, pleasant and helpful manner.
  • Provide coverage to other areas as needed and perform other duties as assigned by the practice manager.

Qualifications
  • Minimum two years work experience in a medical clinic setting, preferably in a surgical practice.
  • Surgery scheduling experience required.
  • Basic knowledge of insurance plans, including Medicare and Medicaid.
  • Ability to enter patient demographic and insurance information quickly but accurately.
  • Excellent customer service and communication skills.
  • Excellent organization skills to maintain multiple physician schedules together with scheduling with area healthcare facilities.
  • Proficiency in computer software use, including Word, Excel and Outlook.
