About This Role

Responsible for processing emergency financial funding requests to eligible grant program participants. Monitors fund usage and prepares reports on an as-needed basis. This is a grant funded position. Continued employment is contingent upon grant funding.

What a day of a Program Assistant looks like:

  • Processes electronic payments and check requests for student needs using the College's Workday system.
  • Tracks and reports on expended funds to ensure accurate reporting in a timely manner.
  • Assists with records keeping including tracking funding, expenses, and related departmental records. Includes development and use of a spreadsheet program.
  • Maintains accurate records of all fund disbursements, including justification, student information, and funding amounts.
  • Ensures that all fund disbursements and community resource requests comply with college policies and relevant guidelines.
  • Reviews invoices for accuracy. Responds to vendor inquiries about payment. Ensures checks and other electronic payments are processed in a timely manner.
  • Responds to complex inquiries from all levels of employees or external sources regarding a variety of questions, such as clarification of College or campus policy and procedures.
  • Interacts with students both within and outside the instructional, student or academic setting in a professional and ethical manner.
  • Provides information to the public, students, and staff regarding programs and services of a department, campus, or College.
  • Performs other job-related duties as assigned.

Education and Experience:

  • High school diploma or GED
  • One year of related experience

Knowledge of:

  • Microsoft Office Professional or similar application
  • Family Educational Rights and Privacy Act (FERPA)
  • Health Insurance Portability and Accountability Act (HIPAA)

Skilled in:

  • Attention to detail while maintaining effective time and task management
  • Understanding and applying rules, regulations, policies and procedures
  • Maintaining data in applicable federal and state financial systems

Ability to:

  • Effectively communicate verbally and in writing on a regular basis with internal and external customers, build relationships, manage customer expectations, and take responsibility for a high level of service
  • Interact in a positive manner with diverse populations and varying education levels of students, faculty, staff, and the public
  • Organize and prioritize multiple, competing priorities to maximize personal and team effectiveness

Licenses, Registration, Certifications, or Special Requirements:

  • Regular physical attendance required
