Job description

Welcome to West Liberty University!

Mission Statement:

West Liberty University is a public university with a rich history of providing students with a comprehensive education from undergraduate to graduate degrees. Through experiential learning and personalized support, we empower students toward scholarly exploration, creative expression, and economic opportunity.

The Opportunity:

West Liberty University is seeking applications for a Student Records Officer. The Student Records Officer supports the effective operation of an institution's systems for the collection, storage, processing, reporting and analysis of student data and information relating to the student journey, from course enrollment to graduation. The Certification Analyst performs responsible work associated with helping students achieve advance certification in their chosen field, with ensuring that students have met all state requirements for certification, and with conducting academic advising for students in undergraduate and post baccalaureate programs.

Essential Functions of the position:

  • Code applications for graduation
  • Pull student files for prospective graduates
  • Evaluate credit from this and other institutions, review and update current evaluations for students who have applied for graduation to determine if all academic and non-academic requirements will be fulfilled
  • Send email to prospective graduate and advisor to notify them of their status
  • Add graduation fee to student accounts
  • Check at mid-term to see if prospective graduate with academic problems have received mid-term grades and notify them that they need to consult with the Registrar
  • Prepare index cards for the commencement ceremony
  • Post final grades. Record degrees, hours completed, and final GPA. Must also record any honors received
  • Assists in developing, implementing and maintaining the processes and procedures which ensure completeness and accuracy of student record data
  • Ensures that all Student Record information recorded is accurate and reliable and that procedures are followed in accordance with national legislation, audit requirements, policies and guidelines
  • Supports, advises, guides and trains staff generally on student record data processes
  • Acts in an advisory capacity on institutional records systems and processes; liaises with internal staff on procedures and documentation for collecting and preparing source data prior to reception by the Student Records team, as appropriate
  • Serves on a variety of university and higher education committees as requested.


Education & Experience Requirements:

  • Bachelor's degree in a related field is required.
  • 1-3years experience in a relevant relationship-based experience with demonstrated success in developing relationships and thoughtful management of records and resources.

Skills/Abilities:

  • Ability to analyze and interpret financial data.
  • Demonstrate problem solving skills.
  • Strong verbal communication and listening skills.
  • Demonstrated customer service skills.
  • Proactively approaches responsibilities.
  • Some travel is required along with evening and weekend events.
