JOBSUMMARY
The Program Coordinator for Student Support Services provides case management coordination and operational support for the Oakland campus Care Team and student support processes. Reporting to the Associate Director of Student Support Services, this position assists in monitoring student concerns, coordinating follow-up outreach, and helping connect students to appropriate campus resources.
Working closely with the Associate Director and campus partners, the Program Coordinator supports case tracking, coordinates student follow-up communication, and assists with documentation and logistics related to Care Team processes. The role focuses primarily on case coordination, resource navigation, and administrative support, with occasional assistance supporting student wellness and success programming.
MINIMUM QUALIFICATIONS
  • Bachelor's degree required.
  • 1-3 years of professional experience in higher education, student services, case management coordination, or related field preferred.
  • Strong organizational and administrative skills.
  • Excellent interpersonal communication skills.
  • Ability to manage confidential and sensitive information.
  • Ability to prioritize tasks and work effectively in a fast-paced student support environment.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
Case Management Coordination (45%)
  • Support the tracking and coordination of student support cases through the campus Care Team process.
  • Maintain case documentation, case notes, and referral records in designated tracking systems.
  • Monitor case follow-ups to ensure students are successfully connected with appropriate campus resources.
  • Assist the Associate Director in preparing case summaries and updates for Care Team meetings.
  • Help track trends and recurring student needs to inform campus support efforts.
2. Student Outreach & Resource Navigation (25%)
  • Provide initial outreach to students referred to Student Support Services or Care Team processes.
  • Share information about campus resources and assist students in navigating university support systems.
  • Coordinate follow-up communication to ensure students understand next steps and available support services.
  • Maintain professional and supportive communication with students experiencing challenges.
3. Care Team & Administrative Support (15%)
  • Assist with preparation and coordination of Care Team meetings.
  • Track referrals and support requests across campus departments.
  • Maintain records, forms, and documentation related to student support processes.
  • Assist with scheduling and internal communications related to student support cases.
4. Program & Outreach Support (10%)
  • Assist with implementation of student success and wellness programming as needed.
  • Support logistics for workshops, outreach events, or educational initiatives.
  • Assist with preparation of informational materials or communications for students.
5. Data Tracking & Operational Support (5%)
  • Maintain student support tracking systems and case management records.
  • Assist with basic reporting related to student support trends and referrals.
  • Support continuous improvement of internal processes and documentation.
