TCAT-McMinnville Main Campus
Title: Student Support Specialist
Classification: Part-time, Temporary, Non-exempt, 12-month
Office Location: TCAT - McMinnville, 241 Vo Tech Dr., McMinnville, TN 37110
Hours: Flexible; 28 hours or fewer per week
Pay: $20 per hour
Reports to: Student Services Coordinator
Position Overview
The Student Support Specialist provides customer service and administrative support for Student Services, with primary responsibility for Admissions and Records operations. This role serves as a point of contact for students, prospective students, faculty, staff, and the public, providing guidance related to admissions, registration, student records, and college programs. The position requires strong communication, organization, attention to detail, confidentiality, and the ability to manage multiple priorities in a fast-paced, student-centered environment.
Minimum Qualifications
  • High school diploma or equivalent plus a postsecondary credential or experience in education, customer service, or a related field.
  • Proficiency with Microsoft Office and general computer applications.
  • General knowledge of technical education programs.
  • Strong skills in customer service, organization, multitasking, record keeping, and reporting.
  • High level of accuracy, attention to detail, self-motivation, and ability to manage a heavy workload.
  • Ability to plan, prioritize, and meet deadlines independently or as part of a team.
  • Ability to communicate professionally and effectively with diverse populations.
  • Ability to exercise sound judgment and maintain confidentiality.
  • Ability to remain composed and adaptable in a fast-paced environment.
  • Willingness to work a flexible schedule as needed.
  • Valid Tennessee Driver's License.

Preferred Qualifications
  • Prior secondary or postsecondary education experience.
  • Technical diploma, associate's degree, or higher from an accredited institution.
  • Experience using Ellucian Banner, Slate, or other student information systems.
  • Prior customer service experience in an educational or public-facing environment.
  • Strong interpersonal and relationship-building skills.
  • Strong problem-solving and decision-making skills.
  • Demonstrated commitment to student success and compliance with FERPA and TBR policies.

Key Responsibilities & Essential Job Functions
Student Services & Records Management
  • Create a welcoming, high-energy environment that fosters interaction among students, staff, faculty, and administration, ensuring that all individuals and outside partners feel valued and supported.
  • Provide group and individual orientation and counseling to help students define their career paths, understand admission requirements, and navigate the Banner portal for admissions and registration.
  • Process requests for transcripts, enrollment and education verification, grade and progress records, academic standing letters, and related documentation in compliance with FERPA, privacy laws, and TBR policies.
  • Process, maintain, and update new and existing admission applications and student records.
  • Perform student registration and daily records processing in the Banner student information system, including enrollment updates, transcript and diploma processing, attendance monitoring, and student exits.
  • Serve as the primary lead for student exit processes.
  • Order, verify, and distribute official transcripts.
  • Monitor student Title IX training.
  • Maintain permanent student records, including scanning and filing in appropriate electronic systems.
  • Coordinate with multi-campus students regarding records and documentation requests.
  • Work with instructors to ensure grades and attendance are accurate and posted in a timely manner; monitor weekly attendance.
  • Verify completion of awards in compliance with curriculum requirements.
  • Assist with data compilation for reporting, placement, licensure, and accreditation.

Recruitment, Outreach & Student Engagement
  • Promote awareness of TCAT-McMinnville's mission, programs, and services.
  • Assist with recruitment and outreach activities including college and career fairs, community events, orientations, campus tours, and distribution of promotional materials.
  • Support dual enrollment activities and documentation as needed.
  • Assist with student retention through support services.
  • Travel within the TBR service area as required.

Events, Committees & Additional Responsibilities
  • Assist with commencements, graduations, orientations, recognitions, and other special events.
  • Serve on college committees and participate in institutional activities as assigned.
  • Fulfill accreditation-related responsibilities in assigned areas.
  • Support leadership team initiatives and administrative needs as requested.
  • Maintain strict confidentiality of student, employee, and institutional information.
  • Perform other duties related to career and technical education as assigned.

Background checks will be completed on all new hires. Employees will be asked to sign a background release authorizing TCAT - McMinnville to complete a background check which will include the following: Sex Offender Registry, County Criminal & Federal Criminal.
Physical Demands and Working Conditions (ADA REQUIREMENTS):
Walking, climbing, bending, stooping. Work is performed in office and classroom environments. Position requires the use of a computer.
