SCHEDULE:

Monday - Friday 8am-4pm

SUMMARY:

Family Service League is seeking a full-time Program Assistant for our Personalized Recovery Oriented Services (PROS) Program located in Huntington, NY. The Program Assistant will assist the program in day-to-day front office operations. Responsibilities include checking in clients, data entry, answering phones and a variety of administrative tasks to support the program, clients, and staff.

RESPONSIBILITIES:

  • The Program Assistant will be responsible for answering telephones and faxes, taking and forwarding messages, and communicating with clients and staff.
  • Assist with referrals and scheduling appointment
  • Maintain, organize and file documents
  • Utilize an electronic requisition to order supplies within budget, assist custodian with petty cash, track and record income and expenses
  • Oversee building operations and needed maintenance and cleaning.
  • Accept deliveries of program supplies, unpack boxes and put items away
  • Data entry functions include entering new client data, scheduling appointments, scanning paper documents, tracking daily attendance and completing monthly billing
  • The Program Assistant will maintain operation of technology including phones, fax, copy machine and scanner
  • Collaborate with multidisciplinary team and provide assistance as needed
  • Performing other duties as delegated by the program director
  • All other duties as assigned

QUALIFICATIONS:

High School Diploma required

At least 1 year of clerical experience required

Proficient computer skills, including Microsoft Office and familiarity with Electronic Health Record required

Excellent interpersonal and communication skills required


PHYSICAL REQUIREMENTS:

  • Ability to sit, stand, walk, bend and reach as required
  • Ability to lift and carry up to 25lbs on an occasional basis as needed
