Job Summary

The Alumni Engagement department is looking for a student to serve as a Golleher Alumni Student Event Steward. Under the general supervision of the Director of Programs and Events and Alumni House Events and Programs Coordinator. The student event assistant would be the main point of contact for contracted groups to connect with on the day of an event. This student should be responsible, organized, possess strong communication and technology skills and enjoy working in a team environment. The Student Event Assistant provides logistical, customer service, and administrative assistance. This role helps ensure events run smoothly by coordinating setup/teardown, supporting clients and vendors, and assisting with on-site problem solving. Events may include university programs (workshops, ceremonies, orientations) and private events such as weddings, receptions, banquets, birthdays, and other celebrations hosted in campus venues.

Minimum Qualifications

Ability to learn and perform assigned work; follow oral instructions; work cooperatively with faculty, staff, and other students; communicate effectively with all levels; and read and write English at a level appropriate to the position.

Student assistant will assist staff with the following:

Event Operations (Campus + Private Events)
Open and close the facility as necessary
Assist with event set up and breakdown (linens, decor, signage, audio visual equipment, etc...)
Monitor events and meetings to ensure facilities and equipment are properly used.
Refresh meeting spaces in between reservations 
Provide front-line customer service for event hosts/clients, guests and vendors.
Provide directions and event information.
Support client requests during events (e.g. vendor coordination, room adjustments)
assist staff  with customers, departments, program advisors, food service personnel, campus police, university officials, and the building manager on duty to ensure that events are properly managed and controlled.

Administrative Supports
Complete event report checklist for each shift worked, detailing equipment used, problems encountered, and solutions provided.
Identify and report any malfunctions of lighting, doors, locks, plumbing systems or other facility issues to the building manager on duty.
Conduct inventory of audio-visual equipment at the beginning and end of each day.

Risk Management & Professional Standards
Contact appropriate campus personnel in case of emergency.
Maintain strict adherence to safety procedures. Attend regularly scheduled safety meetings.
Maintain a professional hospitality-forward demeanor at all times

Required Qualifications

  • Current student at CSUF and is enrolled/registered (fees paid) in a current regular semester as a new or continuing student.
  • Student who has completed the prior semester (has not graduated), or who is registered for the subsequent semester.
  • In good academic standing (not on academic probation, continued probation, academic dismissal).
  • Student who is authorized to work in the United States and can provide employment eligibility documents.

Enrolled in Cal State Fullerton full-time in the current academic year
Must meet CSUF student eligibility requirements. Minimum of 2.0 GPA, in good academic and judicial standing with the university.
Reliable, punctual, and able to follow directions and work as a team.
Ability to work nights and weekends as needed
Ability to lift up to 30 lbs.
Stand for long periods of time

Preferred Qualifications

Ability to work in a diverse and multi-faceted team environment that includes students, faculty, staff, alumni and community volunteers
Basis A/V familiarity (microphones, Zoom/ Teams Bluetooth connection) or willingness to learn
Experience in events, hospitality, or customer service
Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and provide exemplary customer service
Ability to work independently and carry out assignments to completion within the parameters of instructions given, prescribed routines, and standard accepted practices
Strong computer skills including Word and Excel
Excellent written and verbal communication in English
Experience in event planning and calendaring

Background Check

A background check (including a criminal records check) must be completed satisfactorily and is required for this position. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
